Job Description
Primary Responsibilities: The Application and Screening Specialist role is primarily responsible for managing the application approval and lease audit process for centralized multifamily leasing. This role acts as the primary point of contact for all application-related tasks, ensuring documents are complete, screenings are accurate, and leases are processed in compliance with Fair Housing guidelines and Maymont standards.
The coordinator will support site teams by providing timely, high-quality application decisions that improve conversion rates and resident satisfaction.
Skills & Competencies:
Bachelor’s degree or equivalent work experience requiredExperience in real estate, property management, leasing, or related fieldsKnowledge of Fair Housing laws and local/state real estate regulationsFamiliarity with leasing software (Yardi, Elise AI, ScreeningWorks, Snappt, Rhino) preferredStrong written and verbal communication skillsAbility to work independently and as part of a centralized support teamDetail-oriented with strong organizational and analytical skillsAbility to handle high volumes of data entry and document review with accuracyDemonstrated problem-solving and critical-thinking skillsAbility to thrive in a fast-paced environment with frequent deadlines and competing prioritiesEssential Job Functions:
Daily outbound and inbound follow-up with applicants for missing documents, as well as notification for approval or denialsReview and verify applicant documentation, including income and ID verificationTrack and record screening results from our screening softwareIdentify and escalate screening exceptions, coordinating approvals or denials per guidelinesManage the lease drafting and countersignature processCoordinate deposit alternatives or cash depositsProvide timely updates to applicants and leasing teams on application statusEnsure compliance with Fair Housing, Fair Credit Reporting Act, and ADA regulationsMaintain detailed, real-time notes in CRM systemsMinimize processing delays and errors by auditing all files prior to lease executionCollaborate closely with Leasing Specialists and site teams to deliver superior resident experienceEscalate questionable or potentially fraudulent applications to managementOther duties as assignedKey Metrics & Responsibilities:
Address all applications across all markets within 24 hoursProcess all applications and audits within established timelines (typically 24–48 hours)Achieve accuracy goals: 90%+ screening audit score, ≤3% error rateProvide meaningful feedback to central and site teams on application trendsEnsure complete and accurate documentation uploaded to systems of recordSupport improved conversion rates and time-to-lease through efficient application handlingPhysical Requirements
Capable of working extended hours, including evenings, weekends, and holidays as necessary.Must be able to speak English in a clear and understandable voice so that various types of communications may be conducted with people of various levels of education and capabilities, including the exchange and receipt of information over the telephone.Able to see well enough to read faint or partially obscured writing or printing, with corrective lenses if needed.Position may involve sitting, standing, stooping, kneeling, pushing, shoving, lifting, carrying and moving objects that can weigh up to 25 lbs. This movement can occur throughout the day. Must also be able to climb several flights of stairs if necessary.Must be able to interact with all types of individuals, be mentally alert, detail oriented, and with good reasoning skills.Must have finger dexterity for typing/using a keyboard.Environmental Requirements
