Leasing Application and Screening Specialist

Job Description Primary Responsibilities: The Application and Screening Specialist role is primarily responsible for managing the application approval and lease audit process for centralized multifamily leasing. This role acts as the primary point of contact for all application-related tasks, ensuring documents are complete, screenings are accurate, and leases are processed in compliance with Fair Housing guidelines and Maymont standards. The coordinator will support site teams by providing timely, high-quality application decisions that improve conversion rates and resident satisfaction. Skills & Competencies: + Bachelor’s degree or equivalent work experience required + Experience in real estate, property management, leasing, or related fields + Knowledge of Fair Housing laws and local/state real estate regulations + Familiarity with leasing software (Yardi, Elise AI, ScreeningWorks, Snappt, Rhino) preferred + Strong written and verbal communication skills + Ability to work independently and as part of a centralized support team + Detail-oriented with strong organizational and analytical skills + Ability to handle high volumes of data entry and document review with accuracy + Demonstrated problem-solving and critical-thinking skills + Ability to thrive in a fast-paced environment with frequent deadlines and competing priorities Essential Job Functions: + Daily outbound and inbound follow-up with applicants for missing documents, as well as notification for approval or denials + Review and verify applicant documentation, including income and ID verification + Track and record screening results from our screening software + Identify and escalate screening exceptions, coordinating approvals or denials per guidelines + Manage the lease drafting and countersignature process + Coordinate deposit alternatives or cash deposits + Provide timely updates to applicants and leasing teams on application status + Ensure compliance with Fair Housing, Fair Credit Reporting Act, and ADA regulations + Maintain detailed, real-time notes in CRM systems + Minimize processing delays and errors by auditing all files prior to lease execution + Collaborate closely with Leasing Specialists and site teams to deliver superior resident experience + Escalate questionable or potentially fraudulent applications to management + Other duties as assigned Key Metrics & Responsibilities: + Address all applications across all markets within 24 hours + Process all applications and audits within established timelines (typically 24–48 hours) + Achieve accuracy goals: 90%+ screening audit score, ≤3% error rate + Provide meaningful feedback to central and site teams on application trends + Ensure complete and accurate documentation uploaded to systems of record + Support improved conversion rates and time-to-lease through efficient application handling Physical Requirements + Capable of working extended hours, including evenings, weekends, and holidays as necessary. + Must be able to speak English in a clear and understandable voice so that various types of communications may be conducted with people of various levels of education and capabilities, including the exchange and receipt of information over the telephone. + Able to see well enough to read faint or partially obscured writing or printing, with corrective lenses if needed. + Position may involve sitting, standing, stooping, kneeling, pushing, shoving, lifting, carrying and moving objects that can weigh up to 25 lbs. This movement can occur throughout the day. Must also be able to climb several flights of stairs if necessary. + Must be able to interact with all types of individuals, be mentally alert, detail oriented, and with good reasoning skills. + Must have finger dexterity for typing/using a keyboard. Environmental Requirements + Must be able to work on more than one assignment at a time with frequent interruptions, changes, and delays. Must be able to remain focused and work effectively, efficiently, and cheerfully under such circumstances.
