Lease Administrator + **Location** Monterrey, Mexico + **Job ID** 0000025805 + **Category** Finance **Job Description** **Are you a professional ideally who is passionate about making a direct impact to the business?** **Bring your expertise and be a part of the inspiring journey to help us deliver a high-quality service to our customers.** **Core Responsibilities** **Lease Document Management:** + Abstract & Maintain lease documentation ensuring all critical dates, clauses, and obligations are accurately recorded in the AP lease database (lease agreements, amendments, renewals and storage agreements) in AP & Lease Management system. + Maintain accurate records of all lease contracts, ensuring timely and secure storage. + Coordinate with legal, marketing, construction, real estate and operations teams to ensure compliance with lease terms. + Administer lease management system - facilitator of system upgrades and managing any interruption periods **Lease Administration:** + Monitor key dates, such as rent critical issues, renewal options, delivery dates, construction and opening deadlines, tenant allowance reimbursements, co-tenancies requirements, and termination clauses. Assist AP to ensure correct interpretation of lease terms and facilitate internal communications to ensure correct rent payments. + Coordinate with internal Finance and Accounting teams to validate fixed and variable rent payments, including percentage rent and tax reconciliations and alignment with lease terms. + Partner with external legal counsel, landlords, and brokers to support lease execution, Distribution, and archival. + Facilitate rent reviews, estoppels, rent adjustments, notices, and lease modifications as required. + Assist in identifying potential risks through lease tracking reports (e.g., upcoming expires, variable rent triggers). + Run periodic system checks to flag inconsistencies, risks, or expired records. + Intermediary between landlord and AP to create vendor numbers/customer numbers (landlord master data to maintain in SAP) + Liaise with Treasury on approval for bank guarantees. + Coordinate collection of Landlord incentives, including, but not limited to Construction Allowances, rent abatements, and reimbursements. + Monitor tenant obligations for store relocation/closures. **Communication & Coordination:** + Liaise with internal teams regarding lease matters, ensuring smooth communication. + Attendance of project meetings and update programme manager with key information. + Ensure internal processes are adhered to for new and renewed leases. + Support planning and reporting activities by ensuring timely updates to lease data and dashboards. **Reporting & Compliance:** + Generate and maintain regular lease-related reports, including lease summaries etc. + Ensure compliance with legal and financial reporting requirements. + Provide documentation for rent payments, reconciliation support, and variance explanations. (i.e. billing history for new Trash Vendor) **Lease Audits & Analysis:** + Assist in audits of lease agreements and documentation to ensure accuracy and compliance. + Periodical reconciliation between core systems to ensure data integrity (i.e. MRI, SAP, GCM) **Play your part in our team succeeding** You will become part of Business Service Operations (BSO), which is a shared service center that delivers Employee and Finance services to The LEGO Group from 4 locations; Monterrey, Prague, Singapore and China. The Lease Administrator plays an important role in supporting the growth and development of our Retail channel. We are seeking individuals who are eager to actively engage in crafting and strengthening a high-performing department, valuing collaboration and process. **Do you have what it takes?** + BA degree or equivalent experience in Business Administration, Legal or similar. + Proven experience in retail lease administration, property management or related field + Proficiency in Microsoft Office, with strong data entry skills. + Familiarity with retail lease and contract review processes. + Excellent attention to detail, analytical and organization skills. + Experience with lease administration software. + Strong customer service, organizational and problem-solving abilities. + Be robust, resilient and ability to embrace changes, as well as having a proactive mind with a can-do attitude. + Ability to lead up, side and downwards. + Personal drive and initiative, excellent collaboration skills and demonstrated ability to build trust and credibility with assigned business areas or other key partners. + Excellent communication skills. + **Fluent English** Applications are reviewed on an ongoing basis.
