JOB DESCRIPTION SUMMARY

 

The Lease Administration and Property Associate plays a key role in supporting the Tribe’s non-gaming real estate portfolio, which includes income-producing properties and vacant land assets.  This position is responsible for lease and contract administration, property management coordination, financial processing, vendor management, and administrative support.  The Associate works closely with internal departments and external partners to advance real estate initiatives that strengthen the Tribe’s long-term economic diversification and self-sufficiency. 

 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

 

Serve as a liaison with tenants, developers, service providers, and the Bureau of Indian Affairs (BIA) for residential and commercial lease matters. Prepare, review, and track lease documentation and coordinate all required approvals. Maintain and update lease records, including rent schedules, critical dates, and key lease terms. Monitor lease compliance and ensure timely execution of rent escalations, renewals, consents, and other lease actions. Assist with lease-related reporting, budgeting, and financial analysis. Coordinate maintenance and repairs across the Tribe’s income-producing properties and vacant land holdings. Conduct or attend property inspections to ensure compliance with safety standards and building codes. Respond to tenant service requests and maintain positive relationships with tenants and vendors. Support capital projects and oversee timely completion of approved property improvements. Participate in due diligence efforts for new acquisitions, lease agreements, development opportunities, and other alternative investments. Process department invoices and encumbrances, ensuring accuracy in coding, documentation, and timely submission. Establish new vendors in accordance with Tribal accounting and procurement policies. Coordinate with Tribal accounting to ensure prompt payments to vendors and proper receipt of rental and fee income from tenants, developers, and escrow companies. Prepare and issue Requests for Proposals (RFPs) to identify new vendor or contractors through a competitive bid process Assist in drafting, reviewing, and managing contracts in collaboration with the legal team. Provide general administrative support to the Economic Development team including scheduling and coordinating meetings and site visits, processing expense reports, assisting with travel arrangements, managing department records, and notarizing documents as needed.
