The Lead Office Assistant will be responsible for enhancing the excellent standards of operational facilities delivery at our clients' new state of the art building. This will include; carrying out detailed floor walks, monitoring relevant stock in social areas & storage rooms, ensuring meeting rooms are kept up to standard, providing event support where required, stocking of printing stations, enforcing the clear desk policy, and anything else covered by the client WPS team. You will be responsible for supervising the Office Assistants teams while ensuring high standards are maintained at all times.

Role Summary

The Lead Office Assistant will support Office Services at the Client’s state of the art new campus and may directly manage contract services and suppliers as required.

The role will have direct interaction with various departments, and senior managers across the business. The Lead Office Assistant will be expected to lead individual assignments as directed by the Office Services and Hospitality and Campus Events Manager.

Key responsibilities

Ensuring the social areas, open space and meeting rooms are kept immaculate across all office floorsCoordinate and manage a small team of Office AssistantsCustomer service – providing a high level service for both internal and external customersCo-ordinating Meeting room set ups requested and assisting with events where requiredAdministration worksOperate CAFM system to evaluate, prioritize and respond promptly to Facilities-related inquiries from employees; relay inquiries to appropriate resourcesH&S management, to ensure relevant legislation is adhered to and appropriate records are maintainedResponsible for contractors while on siteMaintain Events and Office Services’ inboxes, allocating and completing tasks as requiredSome unsocial hours working may be required from time to time
