About the Role

We are seeking a detail-oriented Job Description Coordinator to join our Professional Standards team. This role offers an excellent opportunity to work within a respected healthcare professional organisation, supporting critical processes that ensure quality standards across the psychiatric profession.
You will be responsible for administering our comprehensive job description approval process for consultant and non-consultant psychiatric positions, while providing vital support to our regional divisions and networks.

Key Responsibilities

Administrative Excellence

Respond to and manage all inquiries related to our job description approval process across multiple channelsMaintain comprehensive electronic records and filing systems for psychiatric post assessments across England, Wales and Northern IrelandAllocate draft job descriptions to appropriate regional specialists for assessmentPrepare assessments and correspondence for senior advisorsTrack weekly progress and produce monthly reports for regional leadership

Stakeholder Support

Support coordination of regional advisor and representative meetings, with deputising responsibilitiesWork closely with newly appointed regional advisors and representatives, providing induction support and performance monitoringCollaborate with division managers on strategic appointments and resource allocationLiaise with external stakeholders including healthcare education bodies, government departments, and NHS trusts

Quality Assurance

Monitor approved job descriptions and track appointment outcomesMaintain comprehensive archive systems (electronic and manual)Ensure all processes align with organisational standards and regulatory requirements

What We're Looking For

Essential Skills & Experience

Strong administrative and coordination experienceExcellent written and verbal communication skillsProficiency in electronic record-keeping and database managementAbility to work independently and manage multiple prioritiesExperience supporting meetings and stakeholder engagementStrong attention to detail and accuracy

Desirable

Experience within healthcare or professional services environmentUnderstanding of recruitment and selection processesKnowledge of regulatory or approval processes
