JIGPC PD&T- Senior Project Administrator

II. POSITION SUMMARY
This position is based at the PD JIGPC Jazan Site, working an 8 x 2-week, rotational assignment.
To manage general administration primarily On-Site and, Off-Site for the PD Project Execution Team and to relieve
and assist Project L1 reporting managers of administrative details and duties. The incumbent will provide general
administrative support to PD&T Project Management team members, manage communication and coordination
with team leaders within and across the organization, maintain and actively track activities to ensure all
administrative tasks are completed by team leaders accurately and on time.
The incumbent is expected to have good knowledge of administration throughout all phases of PD&T.

• Project Location: Jazan IGCC, JIGPC Project Delivery.

IV. PRINCIPAL ACCOUNTABILITIES
• Organize the office / project management team for maximum operational efficiency and professionalism.
• Support PD&T Project Team Leads with diary management and meeting arrangements / logistics.
• Plan, arrange and coordinate specific meetings, produce presentation materials, update information, and
coordinate others to contribute as required.
• Support project managers and project coordinators to promote meeting discipline within the team: meeting
rooms maintained to a high standard, meetings start and finish on time, tele/videoconferences work reliably
without technical problems or delays, meetings are controlled to agendas, meetings are recorded with
meeting notes and clear action assignments, actions are followed up.
• Provide coordination, participation, and logistics support wherever necessary
o Coordinate invitation letters for overseas in and out visitors
o Assist new employee on-board set up etc. logistic support
o Assisting in travel arrangements
o Expense reporting assistance for team
o Maintain time-charge in system, keep team leave records, R&R assignment report and living
allowance records
o Assist BSP book management
o Create requisition and purchase as needed for team
o Support team training arrangements, record, and compliance
o Other duty as assigned
• Coordinate with and support other administrative assistants as required.
• Lead with combining the various discipline lead appendix inputs for the weekly meetings and follow through
with review by Program Director.
• Manage the register for all formal correspondence between Employer and Contractor: Letters, Commercial
Note, Invoice, Interface Query, Variation Request, NCR, Corrective Action Request, Technical Query.
Ensures response by PD&T Project Team meets contractual deadlines.
• Management of time sheet for project manpower and sharing with cost control function for proper allocation
and reviewing with line managers.
• Management of the leave and rotation tracker for the project/Site Team and flag up areas of concern to the
Program Director
• Facilitate the transport request for all the project team members for offsite travel and maintain the record
project manpower and vendors /visitors and share with relevant function like security, safety, and facilities.
• Immediately report problems/failures that may impact on the project and/or its clients/customers to Project
Manager
V. MINIMUM REQUIREMENTS AND QUALIFICATIONS
• Business Administration related formal qualifications/Degree
• Strong organizational and time management skills; ability to work with a high sense of urgency within
established timelines exercising consistent follow-through/follow-up when necessary.
• Work experience of more than 10 years in project administration including at least 5yrs in administration for
remote projects. 10 years to include Multi- National Experience
• Strong knowledge of MS Suite (Outlook, Word, Excel and PowerPoint).
• Meticulous eye for detail, accuracy, and high standards of presentation.
• Flexibility in work as requires arises and initiative at work
• Proficient English (both spoken and written)
• Positive, can-do attitude.
• Professional in appearance, behavior and working style.
• Good communication, coordination, and problem-solving skills
• Ability to plan, set priorities, and multi-task, attention to details and able to present information quickly and
effectively.
• Energized and ambitious to deliver and drive results
• Open and willing to collaborate with other functional teams
• Strong sense of urgency and responsibility
VI. Advantages:
• Knowledge and experience of EPC management
• Previous Experience with Air products or similar EPC.
