Job Description: Records Analyst

Position Overview

A Records Analyst is responsible for assisting the Corporate Records Manager in managing and maintaining accurate records within an organization. This role involves organizing, evaluating, and preserving both digital and physical records to ensure they are easily accessible, secure, and compliant with legal and regulatory requirements.

Key Responsibilities

Records Management: Assist in developing and implementing records management policies and procedures to ensure efficient and systematic control of records.Data Organization: Classify, index, and store records to facilitate quick retrieval and destruction of obsolete records following retention schedules.Compliance and Security: Ensure that records are managed in accordance with all applicable laws, regulations, and organizational policies, including data privacy and security requirements.Audit and Reporting: Conduct regular audits of records to verify accuracy, completeness, and compliance with established standards. Prepare reports on findings and recommend improvements.Training and Support: Assist in educating staff on records management best practices and provide ongoing support and training to ensure adherence to policies.Technology Utilization: Leverage technology to enhance records management processes, including the use of electronic document management systems (EDMS) and other relevant tools.Archiving and Preservation: Oversee the preservation of vital records, including the creation and maintenance of archives for historical reference and legal compliance.

Qualifications

Experience: Minimum of 2-3 years of experience in records management, archives, or a related area.Skills:Strong organizational and analytical skills.Proficiency in records management software and electronic document management systems (EDMS).Excellent knowledge of records retention policies and procedures.Understanding of data privacy laws and regulations.Ability support staff in records management practices.Excellent communication and interpersonal skills.Attention to detail and high level of accuracy.

Work Environment

This position will typically work in an office setting, with a balance of desk work and interaction with other departments. The role may require occasional lifting of file boxes and the use of various filing systems.
