Inventory Asset Specialist & Moveware SME - Europe & Asia

The ideal candidate will possess a strong background in inventory management, preferably within the fine art, museum, or high-value logistics sector. They will be responsible for maintaining accurate and comprehensive records, coordinating with various internal teams and external clients, and implementing robust systems for the safe handling and storage of art.

Key Responsibilities

Inventory Management & Governance (compliance) across Europe & Asia:

Oversee the entire lifecycle of inventory management for fine art assets, including receiving, cataloging, condition reporting, location tracking, and dispatch.

Maintain meticulous and up-to-date records in specialized inventory management software (e.g., Moveware or similar art-specific databases).

Conduct regular audits, cycle counts, and reconciliations to ensure inventory accuracy and identify discrepancies promptly.

Develop and implement inventory control procedures and best practices to enhance efficiency and security.

Highlight and review any gaps in overall chain of custody governance processes and implement change management and training where needed.​

Moveware Database Management (Subject Matter Expert):

Serve as the primary expert for the Moveware database, ensuring its optimal use for all inventory, logistics, and client management needs.

Maintain data integrity and accuracy within Moveware, including detailed tracking of artworks (condition reports, locations, movements, provenance).

Generate comprehensive reports and insights from Moveware for internal teams and high-profile clients.

Troubleshoot issues, implement updates, and optimize Moveware functionalities to enhance efficiency.

Provide training across all Europe and Asia teams.

Client & Stakeholder Liaison:

Serve as a key point of contact for clients regarding their inventoried assets, providing exceptional customer service and timely updates.

Collaborate closely with internal departments, including warehousing, transport, and client services, to ensure seamless logistical operations.

Liaise with conservators, valuers, and other external specialists as required.

Logistics & Operations Support:

Coordinate the movement of artworks, ensuring proper handling, packing, and transportation procedures are followed.

Assist in the planning and execution of complex art logistics projects, including exhibitions, installations, and international shipments.

Ensure compliance with all relevant UK customs, CITES, and other applicable regulations pertaining to the movement and storage of fine art.

Risk Management & Best Practice:

Uphold the highest standards of fine art handling, storage, and preventative conservation.

Contribute to the development and implementation of risk assessment and mitigation strategies for inventoried assets.

Stay abreast of industry best practices, new technologies, and regulatory changes affecting fine art logistics and inventory management.​

Ad-hoc warehouse and chain of custody projects

Required Skills and Qualifications:

Proven and extensive experience in inventory management, asset management, or collections management, preferably within the fine arts logistics, museum, gallery, or auction house sector in the United Kingdom.

A Bachelor’s degree in Art History, Museum Studies, Arts Management, Logistics, or a related field is highly desirable.

Exceptional attention to detail and a methodical approach to record-keeping and data management.

Proficiency in using inventory management software and databases (experience with systems like Moveware or other fine art-specific platforms is a significant advantage).

Strong understanding of fine art handling principles, packing techniques, and environmental controls for art storage.

Excellent organizational, time-management, and problem-solving skills.

Strong communication and interpersonal skills, with the ability to liaise effectively with clients and internal teams.

Ability to work independently and as part of a team in a fast-paced, high-pressure environment.

Knowledge of UK customs procedures relevant to fine art is an advantage.
