The Job 
 

Warner Bros. Worldwide Studio Tours and Retail division is home to an expanding portfolio of Warner Bros. Discovery-owned visitor attractions and experiential retail stores around the world, each created with visitor engagement and exceptional customer service at their heart. The division includes Warner Bros. Studio Tour London – The Making of Harry Potter and Warner Bros. Studio Tour Tokyo – The Making of Harry Potter which opened in 2023. The division also supports Warner Bros. Studio Tour Hollywood, a guided tour showcasing the production secrets behind the best loved films and television shows in the world of entertainment at the studios where they were made.
 

Warner Bros. Worldwide Studio Tours and Retail specializes in experiential retail and is home to The Harry Potter Shop at Platform 9 ¾, Harry Potter Chicago and Harry Potter New York – the iconic flagship store as well as offering an online experience at Harrypottershop.com.
 

The Inventory and System Administrator is responsible for ensuring accurate stock level reporting across the East Coast Retail sites (Harry Potter New York and Harry Potter Chicago) to optimize all sales opportunities. This position will communicate clearly and regularly with Store Managers to inform and update on stock levels that may impact sales, and investigate discrepancies in inventory to minimize shrinkage and promote accuracy. This position will work closely with Buying and Merchandising, Warehouse, and Visual Merchandising teams to ensure smooth flow of inventory to the sites and report back any issues or concerns. This position will maintain accuracy on back-office systems, assist with POS front end changes and additions, and be the main contact for reporting issues/requirements back to Go-Tech team.

The Daily 

Maintain visibility of on-hand stock quantities to prevent, where possible, items going out of stock or overstock issuesManage and maintain display and storage quantitiesWork alongside VM team to maintain a record of any shop floor display changes, addition of new lines, promotions etc.Collaborate with all Back of House management teams across the stores to oversee damaged stock processes, aligning and providing regular reporting to senior managementSupport in the reporting of damaged items to the Compliance teamEnsure products are written off the system correctlySupport with a structure for weekly, monthly and annual cycle count processes, ensuring accuracy in system upload and flagging any discrepancies to managementDirect the team to perform spot checks on zero-sales items, and amend the system where necessaryReport on and amend any negative inventory lines in stores weeklyManage the preparation of stores to be counted annually to ensure efficiency and no lines are missedInvestigate any discrepancies and shrinkages in final count, including managing re-counts for any lines showing inaccuraciesWork with the Marketing, Trade and any other teams required for internal consumption of inventory, ensuring cross-charging is achievedCommunicate with the warehouse regarding non-inventory stock holding and ensure counts are regularly completed, with orders as neededOversee the stock levels and distribution of confectionary, Butterbeer and any other product bundles made at the warehouseSupport the inventory count and ordering of all personalization suppliesSupport on POS training remotely, where required for management and BOH members to ensureWork with the relevant teams to ensure thatCreate comprehensive training manuals for staff useCollaborate on any new requirements or technical POS / BOH system issues to the Go-Tech including but not limited to:Additional, new, or redundant hotkeysUser codes and permissionsAny new reports and back of house functionalityAll POS issuesNew deals/promotionsReport any POS hardware or software issues to Go-Tech, Image Insight and/or PomVom, keeping logs where necessary.Take a role in any UAT for new POS or BOH functions as new systems launch ahead of going live, reporting any functionality issues.Ensure all products are available to sell on POS at all times, ensuring product set up for new launches, ensuring teams are completing tests and reporting issues.Raise and oversee purchase orders for stores and warehouse, liaising with finance teams and vendors directly for payment.Support in the reconciliation of P-Card receipts as required.Monitor and pass on order requirements of stationery items for stores.Support the Senior Manager with any reporting, administrative and system requirements as directed.
 

The Essentials 

Inventory / warehouse experienceRetail / sales experience would be beneficialPrevious experience with data analyticsInter-personal skills to interact with all members of the organizationKnowledge of front-end POS systems and back-office applications/systemsProficiency in Microsoft Office and full IT proficiencyExperience with inventory management systemsBasic understanding of financial proceduresAttention to detail and strong organizational skillsUp to 40 hours a week working 8 hour shifts, primarily Monday to Friday but may be required to work weekends and evenings at timesDue to the adaptive nature of this role flexibility is required to suit the needs of the businessPosition is based in New Jersey but may also work from NY StoreAbility to travel required.

Actual salaries will vary based on several factors, including but not limited to external market data, internal equity, location, skill set, experience, and/or performance. Base pay is just one component of Warner Bros. Discovery’s total compensation package for employees. Pay Range: $35,360 - $61,110.00 salary per year. Other rewards may include annual bonuses, short- and long-term incentives, and program-specific awards. In addition, Warner Bros. Discovery provides a variety of benefits to employees, including health insurance coverage, an employee wellness program, life and disability insurance, a retirement savings plan, paid holidays and sick time and vacation.
