About the role:The EMEA region at Vistar Media is growing fast - what started with payroll in the Netherlands, Germany, and the UK has expanded to Sweden, Belgium, and France. With each new market, payroll has been a key factor in building employee trust and ensuring operational success.
We’re looking for an International Payroll Administrator to support our expanding footprint. You’ll report into our Amsterdam-based Senior HR Business Partner and manage day-to-day payroll operations across EMEA.
You’ll be part of our local People Ops team in Amsterdam while collaborating with a global People Ops team that includes four HRBPs across regions and a core team based in New York.
If you’re organized, detail-oriented, and ready to thrive in a dynamic international environment, we’d love to meet you.
What you’ll do:Global Payroll Operations: Support managing accurate and timely end-to-end payroll processing for multiple EMEA and APAC countries (e.g., NL, FR, DE, BE, UK, AUS, SG), ensuring compliance with local laws and internal policies.
Global EOR Management: Support managing global Employer of Record (EOR) payroll and administration in locations including New Zealand, Brazil, Thailand, and Sweden, serving as the main contact for EOR partners.
Vendor Management: Coordinate with international payroll vendors, monitor service-level agreements (SLAs), and proactively resolve processing issues.
Discrepancy Resolution: Support in resolving payroll discrepancies and assist with basic account reconciliations.
Process Documentation: Help document payroll procedures and maintain internal resources to support consistency and accuracy.
Continuous Improvement: Stay informed on payroll and benefits best practices and suggest process improvements.
Onboarding: Own the payroll onboarding process by collecting and transferring employee data to vendors and managing statutory calculations.
Offboarding: Assist with offboarding processes, including final pay processing, severance, pro-rata bonuses, and coordinating with vendors.
HRIS Administration: Help manage HRIS administration, including system configuration, data maintenance, and reporting.
Immigration Support: Assist with immigration and visa processes, including managing the 30% expat scheme, recordkeeping, and compliance with country-specific requirements.
Benefits Administration: Support international benefits administration, including enrollments, changes, and employee communication to ensure accurate data flow.
Market Expansion: Support payroll setup in new markets by researching local payroll practices, statutory requirements, and potential vendors while coordinating with Legal, Finance, and People Ops teams.
Who you are:You’re curious, proactive, and eager to dive into the details to make sure everything runs smoothly behind the scenes.
You enjoy structure and processes but you’re also flexible enough to adapt when things change (which they often do in international environments).
You’re someone people trust with sensitive information: discreet, reliable, and always professional.
You find satisfaction in getting things right and spotting errors before they become problems.
You communicate clearly and kindly, whether you’re talking to a teammate, a vendor, or someone who just joined the company.
You like working in a team but can also take ownership of your tasks and move them forward independently.
You bring positivity and a can-do mindset, especially when solving tricky problems or navigating new systems
