The Opportunity:
Avantor is seeking a Payroll Transition Project Support Specialist for a 12-month interim assignment to assist with our Global Payroll Transition initiative.
This is a fully remote role and can be based in either the UK or Ireland.
MAJOR JOB DUTIES AND RESPONSIBILITIES (List in order of importance)
Collaborate closely with the Global PMO to ensure all tasks associated with the global payroll transition project are clearly documented and delivered on time in line with the operational project plans
Document and design the future state requirements associated with the payroll transition for the international entities within your remit. Coordinate and support the local SME’s to ensure local requirements are clearly documented and captured in the set up workbooks (e.g. Company Data, Pay component set up, LOA & Time Off Rules, GL File & GL Mapping, Citi Bank File Requirements)
Support the local SME’s complete the data migration workbooks (e.g. Employee Master Data, Employee YTD Data, Employee Fixed Pay Components) and ensuring the data is clearly aligned with Workday data, collaborate with HRIS in the event mass corrections / uploads are required
Support the HRIS team with the development of PECI at a country specific level. Ensure consistency is established in the way in which data is managed in Workday, collaborating with the wider HR team in the event operational changes need to be implemented
Lead the integration testing by designing a comprehensive outline of Test Scripts to consistently be used across all countries. This includes test scripts associated with PECI, Payslip Import, EXPR Import, GL Test
Support the signoff of data migration and the validation end to end testing throughout the implementation of each local country payroll > Employee Payroll Data Validation, Company Data, Parallel Testing, Reverse Parallel (if applicable), Penny Testing
Support with internal communications ensuring all stakeholders are kept informed, including key project contacts, key business stakeholders, employee communications and supporting escalation management where applicable.
Flag Risks, Actions, Issues and Decisions in a timely manner to the Global PM and support the path to green
Assist in preparing and maintaining project documentation, including workflows, training materials, and user manuals.
Coordinate training sessions for payroll teams, HR staff, and relevant personnel on the new system or processes.
Assist with post-transition activities, including resolving any remaining issues and ensuring the new payroll system is running effectively.
Support ongoing payroll operations after the transition phase, helping with any troubleshooting or adjustments.
Key Skills & Qualifications:
Experience:
Extensive experience in payroll administration, HR systems, or project management (min 4 years).
Familiarity with Workday and external payroll vendors such as ADP, Safeguard.
Experience with payroll migrations in a similar, multinational payroll environment
Skills:
Strong organizational skills with the ability to handle multiple tasks and deadlines.
Excellent communication skills, both verbal and written.
Ability to analyze data and troubleshoot issues effectively.
Knowledge of payroll compliance, tax regulations, and HR processes.
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
Familiarity with project management tools (e.g., Smartsheets.) is a plus.
