Job Requirements
Execution of Interface Management:IMPRollout and Enforcement: Formally roll out the contractually binding IMP to all

 

 

stakeholders during the project kick-off meeting and ensure its adherence throughout the project.

Proactive, Schedule-Driven Management: Work in close collaboration with the Project Scheduler to link the resolution of interface issuesdirectly to the master schedule, especially activities on the critical path. This ensures that management is focused onpriority issues that could impact the project's completion date.Action-Oriented Interface Meetings: Chair regular interface meetings, ensuring they are not just for progress updates but are forums for decision-making, where clear actions, responsible persons, and deadlines are established to resolve issues.Formal Written Communication: Enforce the use of official Technical Queries (TQs) and Requestsfor Information (RFls) for all technical communications. Meticulously track all correspondence and ensure timely responses.Appropriate Escalation: When issues cannot be resolved at the site level,promptly activate the escalation process definedin the IMP to involvesenior management, preventing problems from stagnating and causing greater harm.On-Site InterfaceCoordination and Problem-Solving:Overall Site Coordination: Lead coordination efforts between the Main contractor, major equipment vendors, and other contractors. While maintaining close communication with TDK'srespective construction managers, lead weekly coordination meetings to agree on plans for work areas, laydown yards, and crane operations. A key part of thisis to support the construction managers in establishing safe work procedures by assessing risks from Simultaneous Operations (SIMOPS).Thorough Management of Key Interfaces:Timely Handover of Foundations: Conduct joint inspections with the civil contractor before accepting foundations and formalize the handoverwith a signed certificate. Manage the rectification plan for any non-conformities.Equipment and System Tie-in Points: Based on approved Interface Control Documents (ICDs) and P&IDs, clarify all design and supplyresponsibilities between different vendors to ensure smooth connections.Management of Main contractor-Supplied Items: Closely monitor the delivery schedule of materials and drawings supplied by the Main contractor. Issue early warnings for any potential delays and conduct thorough receiving inspections.Utilization of OEM Technical Advisors (TAs): Coordinate the timely dispatch of TAs from vendors like majorequipment vendors . Document all instructions received from TAs to clarify responsibilities.Availability of Construction Utilities and Areas: Ensure that the supply of construction water and power meetsour project's requirements. Coordinate the use of temporary facilities and access routes. 

 

 

Risk Management and Execution of Contractual Rights:ConsistentExercise ofContractual Rights:For anydelay orextra cost caused by the Main contractor, issue a formal written \"Notice\" within the contractually stipulated timeframe {e.g., 28 days). This must be done professionally and factually to preserve our rights.SystematicCollection of Evidence: Maintain asystematic processfor collectinghigh­ quality supporting documents for any potential claim. This includes dated photographs, detailed daily reports,correspondence, and meeting minutes.Document Control and Reporting (Execution of Business EntityStrategy):Building the Official Project Record:Ensure all interface-related communications and decisions are meticulously documented to create a traceable and objective project record.Substantiating the Business Entity (FAR): Enforce the process of formal meetings and detailed minutes within TAC to provide clear evidence that it is operating as a genuine business entity in the Philippines, performing functions, managing assets, and assuming risks.Effective Reporting: Provide regular and timely reports to the project management team and relevant head office departments on interface status,risks, and resolutions. Use Exception Reports to flag critical issues that require immediate attention.

Risk and Scope of Work Analysis& Clarification:Thoroughly analyze contractual documents such as the QuotationInstruction (QI) and

 

 

Division of Work (DOW) to identify inconsistencies, ambiguities, and excessive responsibilities outside our scope (e.g., ASME S-Stamp certification, extended two-year warranty periods, excessive penalty clauses).

Prepare and issue formalTender Queries/ Clarifications to the Main contractor for all identified issues and ensure responses are received. Compile these communications into a \"Deviation/Clarification (D/C)List\" to clearly define the basis of our bid, with the goal of attaching it to the final contract.Assess potential risks arisingfrom the Main Contractor's inexperience, such as poor coordination and delayed decision-making, and propose contractual clauses to mitigate these risks.Interface ManagementStrategy & ContractNegotiation Support:Draft a preliminary \"Interface Management Plan (IMP)\" tailored to theproject's specific characteristics.Work closelywith the contractnegotiation team to strongly advocatefor the inclusion of the IMP as a legally binding appendix to the subcontract agreement between our company and the Main contractor. This is a crucialstrategy to allow us to effectively lead the site management structure.Support the development of a realistic preliminary master schedule by assessing the potential impact of interface issues on the project timeline.Establishment of Contractual and Claim Preservation Processes:Provide input to the negotiation team to clearly define the process for submitting \"Notices\" in the contract,which is essential for preserving our rightsto claim for an Extension of Time (EOT) or additional costs.Assist in clarifying the contract conditions under which delays caused by others (e.g., late provision of drawings, permits, or materials) will be considered a Compensable Delay.Preparation for Tax Strategy(Establishing a BusinessEntity):From an interface management perspective, develop a preliminary strategy on how to structure and document activities to demonstrate that TAC has the necessary Functions, Assets, and Risks (FAR) to be recognized as a legitimate business entity in the Philippines for tax purposes.
