Job Summary

The University of Michigan seeks a creative, innovative, and thoughtful person to join its Equity, Civil Rights and Title IX Office (ECRT). The Intake and Supportive Measures Associate Specialist primary responsibility is to assist in handling the intake of reports that include discrimination or discriminatory harassment involving faculty, staff, students, and other members of the university community.  Candidates for this position must have the knowledge, skills, abilities, and experience needed to provide highly responsible and effective support in a fast paced/high volume work environment. This position works alongside the data management team, Sex and Gender-Based Misconduct (SGBM) team, Civil Rights and ADA teams.   The successful candidate collaborates with campus partners, including Student Life, Staff/Faculty/Student Ombuds, Department of Public Safety and Security, Staff and Academic Human Resources, Michigan Medicine HR Solutions Center, Work Connections, Rackham, and Athletics.  We have a strong community of collaborators who value and support this work as we look to expand and evolve in critical ways. 

Responsibilities*

Essential:

Percentage - 50% (Intake & Support)

Responds compassionately to community members bringing concerns to ECRT while serving as the initial point of contact and intake with students and employees and other requestors reporting protected class discrimination and discriminatory harassment. Provides highly skilled, trauma-informed consultations to provide a thorough and accurate explanation of relevant policies including the Sexual and Gender-Based Misconduct (SGBM) policy and relevant policies on discrimination and harassment, and when assessing individual needs and responding to questions about ECRT processes and procedures. Manages a large caseload in a fast-paced, high-volume environment with ever-changing priorities and must be adaptable, and able to meet deadlines.Transitions cases from intake to various resolution pathways internally, and to external campus partners if concerns are outside ECRT's scope of work. Routinely uses independent judgment to analyze needs and provide timely and effective referrals to confidential resources, student-based services, mental health services, law enforcement, conflict resolution programs, human resource partners, Michigan Medicine, etc. Applies an in-depth understanding of federal and state civil right laws, regulations and guidance to reported concerns when conducting case review with ECRT directors to determine the most appropriate course of action for each case. Maintains highly sensitive information with discretion and good judgment to maintain privacy in compliance with all applicable laws (Title IX, Title VII, Title VI, ADA, etc.

Percentage - 20% (Supportive Measures)

Manages a large caseload of supportive measures and collaborates with investigative staff to ensure the supportive measures are concurrent with resolution pathways, timely and appropriate.Routinely uses independent judgment to identify individualized supportive resources, make appropriate referrals, and coordinate supportive measures (e.g. mutual contact restrictions, academic/housing/work related accommodations, etc.).  Provide emotional and logistical support to parties engaged in reporting concerns and through the investigation process. 

Percentage - 20% (Data Management)

Provides efficient, detailed, and comprehensive case management through the CaseIQ database and other systems/documents, including recommending and implementing solutions for continual process improvement.Engages in case audit procedures to ensure accurate casework, documentation and follow up to ensure accurate data reports are generated for internal and external partner use. 

Percentage - 10% (Communication with Campus Partners)

Develop relationships across the campus and Michigan Medicine to support a collaborative environment. Collaborate effectively with external partners in response to reports of all forms of harassment and discrimination as outlined in university policy. Participate in regularly scheduled meetings to ensure the smooth transition of cases being referred to campus partners and to discuss resources and provide information on ECRT processes including intake, relevant policy/procedures, and supportive measures coordination.

Required Qualifications*Bachelor's degree At least (2) two years of experience doing similar case intake/management work in highly complex case management system with a proven ability to manage highly sensitive information with professionalism, sensitivity, and privacy.   Must be able to take direction from several people and have the proven ability to prioritize tasks, handle frequent interruptions and meet deadlines. Excellent oral and writing communication skills and ability to communicate with care and compassion.Demonstrated ability to work both independently and collaboratively.Demonstrated ability to work in a fast-paced environment with high case volume.Ability to update internal databases with accuracy daily.Knowledge of and ability to apply all relevant federal and state civil rights laws, regulations, and guidance.Excellent organization and time management skills and ability to prioritize among a variety of tasks and respond to time sensitive requests with accuracy and attention to detail. Demonstrated ability to accomplish tasks autonomously and efficiently and to ensure appropriate record keeping.Demonstrated ability to operate effectively in a manner consistent with the university's mission and culture.Ability to work outside of regular business hours on occasion, if needed.  This may include: email response, sending outreach materials, etc. on weekends, evenings, or holidays.Desired Qualifications*Advanced degree in a relevant field preferred (e.g., law, higher education administration, human resources, social work, organizational studies, etc.).Experience working in the area of sexual misconduct, and/or civil rights compliance. Experience working in a university environment preferred.Experience providing support for individuals making reports of harassment or discrimination. Modes of Work
