THE ROLE
The Partnerships Coordinator supports the Partnerships team across Insomniac festivals while also providing direct administrative support to the SVP of Partnerships. This hybrid role blends sponsorship sales coordination with executive-level assistance, requiring strong organizational skills, discretion, and the ability to thrive in a fast-paced environment. RESPONSIBILITIES
Sponsorship Acquisition & Prospecting:
+ Conduct research on sponsorship trends, competitor sponsorships, and potential partners to build target lists for festival partnership prospecting and acquisition.
+ Create and maintain Winmo contact lists, uploads, and Outreach sequences.
+ Participate in brainstorming sessions for new business opportunities.
+ Facilitate and attend meetings with new prospects; take meeting minutes, provide action items, and follow up.
+ Prepare deal point memos (DPMs) and illustrative presentations as needed.
+ Assist in negotiating sponsorship agreements and contracts.
Sponsorship Marketing Materials & Collateral:
Develop, update, and distribute department marketing materials, including but not limited to:
+ Festival Brand Guidelines
+ Festival Overview Decks
+ Festival Recaps
+ Dedicated Client Recaps
+ Programmatic One Sheets
+ Sellable Opportunities documents
+ Develop case studies to highlight past partnership successes.
+ Various info and data collection (i.e. festival social channel stats, customer survey reviews etc)
Partnerships Relationship Management
+ Maintain ongoing communication with sponsors to ensure their needs and expectations are met.
+ Provide excellent customer service to sponsors before, during, and after festivals/events
+ Foster long-term relationships with partners to encourage repeat partnerships
Sponsorship Activation & Ticketing
+ Manage contractual ticket packet orders and guest list submissions in the Lennd Portal.
+ Coordinate mailing orders for sponsor ticketing and credential needs as per negotiated contract deliverables.
+ Coordinate in-kind donations for BOH festival support.
+ Attend festivals as requested to assist in client hosting and brand management duties.
Administrative & Executive Support
+ Provide direct administrative support to the SVP of Partnerships, including:
+ Calendar management and scheduling meetings
+ Travel booking and accommodations
+ Preparation of executive materials, agendas, and follow-ups
+ As applicable, act as a gatekeeper for communications and prioritizing executive requests
+ Handling confidential information with discretion
+ Assist the team with scheduling, internal information requests, and department operations.
Accounting & Financial Support
+ Maintain records of creative invoices, billbacks and department expenses.
+ Process T&E and P-Card expenses, code appropriately, and ensure data accuracy.
+ Manage purchase orders in Procurify and reconcile expenses through Concur and Brex.
Job Expectations:
+ This role requires flexibility, including availability nights, weekends, and holidays as needed.
+ Candidates must be comfortable with an ‘always-on’ mindset to respond to urgent business needs outside of standard business hours.
QUALIFICATIONS
+ Minimum 3 years of direct experience in administrative work, brand management coordination, or client services; experience in entertainment, media, or live events is preferred but not required.
+ Ambitious self-starter and high-energy individual who thrives in a fast-paced environment.
+ Excellent verbal and written communication skills with the ability to anticipate problems.
+ Proactive, collaborative, and organized working style; consistently meets deadlines.
+ Strong attention to detail, solution-oriented, and effective time management skills.
+ Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Keynote, Canva); experience with Airtable, Google asset tracking tools preferred.
+ Ability to follow department and company processes and procedures.
+ Enthusiasm for sponsorship, partnerships, live events, and festival culture.
+ Ability to handle sensitive information with confidentiality.
WORK ENVIRONMENT
+ Must be willing to travel to work during holidays, evening and weekend hours, as required, to meet deadlines.
+ Must be able to tolerate loud noise levels and drastic temperature climates while working on site at various event locations.
+ Must be able to work in open concept office space.

Hourly Pay Rate Range: $22.00 - $27.00/hr
