THE ROLE
Insomniac Events is looking for a motivated and organized HR Coordinator to support the day-to-day operations of our Human Resources team. This role is essential in delivering smooth onboarding and offboarding experiences, coordinating recruitment and internship programs, and contributing to employee engagement and culture initiatives. This role needs a self-motivated, detail-oriented individual who possesses a “roll up the sleeves attitude” and a “hands-on” style, as well as the aptitude to thrive in a fast-paced, results- oriented environment. The Human Resources Coordinator will directly report to the Manager, Human Resources. This is not a remote position and required to be in our Calabasas office full time.
RESPONSIBILITIES
Recruitment
Assist with recruitment tasks including opening/closing job requisitions, scheduling interviews, candidate communications, and offer coordination
Maintain elevated candidate experience by following company best practices and standards
Participate in virtual job fairs and other recruitment events
Support full time recruitment team as needed
Onboarding & Offboarding
Facilitate new hire orientation sessions and building tours
Ensure all steps of the established new hire onboarding process are completed timely and accurately
Support regularly assigned audits of new hire data and access to ensure employees are properly set up in company systems and distribution lists
Support offboarding processes by sending exit surveys and conducting exit interviews
Total Rewards
Coordinate and support production of internal company events and activities
Assist with benefits administration during onboarding and open enrollment
Support social and company culture initiatives
Administrative Support
Coordinate assets and materials for HR-related communications and resources
Schedule and coordinate department meetings, take notes, interviews and trainings as necessary, help organize and distribute relevant materials
Audit and organize all employee life-cycle HR files
Support employee lifecycle functions such as, but not limited to; off-boarding process, compliance training tracking/auditing and Leave of Absence compliance, etc.
Liaise between HR and IT for all employee changes
Support the Facilities team with front desk coverage and projects as needed
Support facilitation of company internship program
Support training sessions with preparation of presentation materials, and logistics coordination
In-office HR representative when other team members are OOO or working on-site
Support implementation of short- and long-term programs and projects
Additional Responsibilities
Support the recruiting, training and onboarding of employees both directly and partnering teams
Other special projects and tasks as assigned as needed
Some travel may be required (economy)
QUALIFICATIONS
2+ years of experience in HR or related support role
Bachelor’s degree in Human Resources, Business Administration, Communications, or related field preferred
Experience supporting recruitment coordination, onboarding, offboarding, and employee engagement initiatives preferred
Familiarity with HRIS systems and office productivity tools. Experience with Workday, Timeclock Plus, and ADP Vantage experience is a plus
Proven ability to handle sensitive and confidential information with discretion and professionalism
Strong organizational skills with the ability to multitask and prioritize effectively
Excellent verbal and written communication skills
Attention to detail in document preparation and follow-up tasks
Customer service-oriented with a collaborative mindset
Proficient in Microsoft Office, Google Workspace, and comfortable learning new software tools
Must be motivated with an “Everything is possible” attitude
Team player, problem solver, and adaptable
WORK ENVIRONMENT
Must be able to tolerate loud noise levels & busy environments
Must be able to lift 50lbs (chairs, tables, etc.)
May work in drastic temperature climates
Must be willing to travel to work during holidays, evenings, and weekend hours, as required, to meet deadlines

Hiring Hourly Range: $22.00 - $27.00/hour
