Entity: Corporate Services Department: Materials Management Location: 3535 Market Hours: 0800-1630, M-F, Remote The Information System Specialist develops, demonstrates and maintains a complete understanding of the accounts payable and supply chain applications. They possess a deep understanding of the systems setup, tables, interfaces, issues resolution, contract prices load, item master, maintenance of participants, Electronic Data Interface (EDI), Handhelds (HHTs), Scanning, etc. Accountabilities Maintains updates files/tables in Infor Identifies, addresses, resolves, or offers recommendations of system problems Monitors and research system capabilities for ongoing improvement/enhancement possibilities to meet Supply Chain and customer needs Supports with the end of month process Monitors and creates reports generated to ensure reports are accurately capturing required data, work with customers (users and staff) to understand the data and the next steps, i.e., forwarding data to appropriate area for corrections Monitors scheduled reports for completion according to schedules specifications Manages/Administrator, Understands and assists with EDI issues, setups, testing and inbound and outbound processes and files. Contact and work with vendors, Account Payables and Global Healthcare Exchange (GHX) Setup and maintenance of Infor security adds and changes Manages process flows – setup and maintain approvers, restart work units when necessary, monitors, system issues, Infor process automation, super approved/unreleased/reject requisitions Manages users’ terminations and changes Understands and assists with Mobile Supply Chain Management issues, setups and testing, par locations. Add (manually or thru an upload) Items to the Item Master, including the locations, and contracts. Pull Item Master and Item Master related data using MS Access or Excel ISD queries, including a deep understanding of the tables and how they relate to each other. Assists Contract Managers with the prices upload, product conversions, vendor acquisitions, item master maintenance Works with Manager of Value Analysis (MVA) and Revenue on item adds or when changes to items send to Epic are requested Works very closely with the Epic team Part of the Customer Support Help desk team Supports Departments and complete any necessary setup and registration when new practices are open Assists with computers and printer issues. Other duties as assigned to support the department, entity and health system organization Performs duties in accordance with Penn Medicine and entity values, policies, and procedures Other duties as assigned to support the unit, department, entity, and health system organization Minimum Requirements Required Education and Experience H.S. Diploma/GED is required (Bachelor’s Preferred) 5+ years Experience in the related area (IS, Supply Chain) is required. Experience with ERP systems preferably Infor is preferred. Required Skills and Abilities TECHNOLOGY: Ability to use Microsoft Excel TECHNOLOGY: Ability to use Microsoft Access TECHNOLOGY: Proficiency with Adobe Creative suite TECHNOLOGY: Ability to use Microsoft Outlook Knowledge of Accounts Payable Expertise in Item Master and related forms setup and tables Knowledge on Handheld technology and related setup and tables Ability to work without close supervision Displays critical thinking skills Positive, friendly and patience approach to end users Flexibility and adaptability in a dynamic environment. The ability to maintain composure, good judgment, and acceptable work performance under conditions caused by deadlines, workload, or other causes.
