Import & Export Manager

Job Description:

The Import & Export Manager ensures the efficient, cost-effective, and compliant movement of goods across international borders. This includes managing trade regulations, optimizing logistics, and mitigating risks related to the import and export of raw materials, packaging, machinery and equipment, samples, and spare parts. The role is key to ensuring supply chain continuity and regulatory compliance while supporting business growth and operational efficiency. Manages or performs work associated with both import and export administration including, monitoring the preparation and dispatch of customer export orders, and planning/directing the flow of air and surface traffic to the destination, ensuring compliance with the home and foreign country government laws and customs regulations.

What are we looking for?

Bachelor’s degree in international business, Supply Chain Management, Logistics, Foreign Trade, Business Administration, or a related field.
A master's degree in International Trade, Logistics, or Business Administration (MBA) is a plus.5+ years of experience in import/export operations, international logistics, or trade compliance.
Experience managing raw materials, packaging, machinery, spare parts, and product samples in an international trade environment.Proven track record of working with customs brokers, freight forwarders, and regulatory agencies.
Strong knowledge of Incoterms, customs regulations, trade agreements, and import/export documentation.

What will be your key responsibilities?

The role oversees the import and export processes for:
Raw Materials – Ensure timely import of essential materials for production.
Packaging Materials – Manage the flow of packaging supplies to maintain production schedules.
Machinery & Equipment – Coordinate international shipments of capital assets while ensuring compliance with import regulations.
Samples – Oversee the import/export of product samples for testing, approval, and market evaluation.
Spare Parts – Ensure the fast and compliant importation of spare parts to minimize equipment downtime.

1. Governance over Trade Compliance - Regulatory Documentation

Ensure adherence to international trade laws, customs regulations, and company policies.Manage all import/export documentation, including customs declarations, invoices, bills of lading, Crertificates CZE and certificates of origin.Stay updated on regulatory changes affecting materials, packaging, machinery, and spare parts.

2. Import Logistics & Freight Management

Optimize international shipments for cost-effectiveness and efficiency.Coordinate with freight forwarders, customs brokers, and carriers to ensure smooth transportation.Address logistics challenges such as delays, customs holds and import restrictions.

3. Risk Management & Issue Resolution

Identify and mitigate risks related to customs delays, regulatory compliance, and supply chain disruptions.Loss elimination and string Root cause Analysis mindsetDevelop contingency plans for critical imports such as raw materials and spare parts.Resolve documentation discrepancies and customs-related issues proactively.

4. Vendor & Stakeholder Collaboration

Align import/export operations with procurement, finance, legal, supply chain teams and physical logistcs team.Manage relationships and participate in negotiating contracts with logistics providers.

5. Performance Monitoring & Process Optimization

Track KPIs such as customs clearance times, freight costs, and compliance adherence.Follow plan 22 for AffiliatesImplement process improvements to streamline import/export activities and reduce lead times.Leverage technology for better tracking, documentation, and compliance reporting.

6. Other Core Activities

Integrate accounts payable administration per Supplier.Shipments’ reporting and international traffic KPI’s.Analyze monthly KPIs from inland, international forwarders and Customs brokers to ensure targets (based on MGS alignments) are being achieved and prepare action plans if required.Overseeing and close follow-up on the issue of import licenses and completion of monetary transactions associated with the import & exports in a timely manner.Ensuring compliance with the home and foreign country government laws and customs regulations.Standardize work processes for documentation, customs clearance, transportation coordination, and risk mitigation to enhance efficiency and reduce errors.Train internal teams and key stakeholders on SOPs to ensure alignment and adherence across all functions.
