The HR Coordinator provides comprehensive support for a variety of campus HR and administrative functions, including client and executive visits, onboarding, reporting, event coordination, and other projects. YOUR TASKS
* Plan and manage client-related and executive visit logistics, including space management, preparation activities, catering coordination, and light housekeeping.
* Coordinate domestic and international travel and serve as Campus Travel Administrator by managing travel portal access and resolving travel-related issues.
* Facilitate onboarding communications and lead New Hire Orientation sessions in partnership with HR team members.
* Provide daily administrative support for HR operations including reporting and data entry in systems such as Kronos and UKG.
* Maintain and update employee records, both digital and paper-based, ensuring accuracy and confidentiality.
* Assist in tracking compliance-related documentation, including I-9 verifications, policy acknowledgments, and training completions.
* Support employee engagement initiatives and assist in organizing campus events, employee appreciation activities, and recognition programs.
* Monitor and manage inventory of office and onboarding supplies; order and restock as necessary.
* Handle incoming and outgoing mail, packages, and interoffice deliveries.
* Create and distribute internal HR communications, including new hire welcome messages, event reminders, and policy notices.
* Schedule and coordinate meetings for HR leaders, including calendar management and room reservations.
* Assist with vendor or contractor onboarding and coordination, ensuring smooth access and compliance.
* Provide administrative support for internal HR audits and generate reports as needed.
* Manage new hire badge creation and assist with site access control procedures.
YOUR PROFILE
* 2 plus years' experience providing HR administrative support
* High school diploma or equivalent
* Superb written and verbal communication skills
* Strong time-management skills and multitasking ability
* Aptitude for learning new software and systems
* Ability and willingness to travel between our Louisville locations
* Ability to work flexible hours, nights and weekends as needed to support Campus HR Operations
* Previous HR experience in 3PL/Distribution environments preferred
* Previous experience using UKG and Kronos preferred
* Bilingual proficiency (Spanish) preferred
