Position: Benefits Coordinator- THIS POSITION IS LOCATED IN BRENTWOOD, NY The HR Benefits Coordinator is responsible for supporting the administration and coordination of employee benefits programs, including health, dental, vision, life insurance, disability, retirement plans, leaves of absence, and wellness initiatives. This role serves as the primary point of contact for employee benefit-related inquiries and ensures compliance with company policies and legal regulations. Job Scope Major Responsibilities: + Administer day-to-day operations of group benefits programs (e.g., health, dental, vision, FSA, life/LTD insurance, 403(b), COBRA, etc.). + Serve as a resource for employees regarding benefits questions, plan details, and eligibility requirements. + Process new hire benefit enrollments, life event changes, and terminations in HRIS/benefits systems. + Assist employees with claims issues and coordinate with vendors as needed for resolution. + Monitor and ensure compliance with applicable benefits regulations (e.g., ERISA, ACA, HIPAA, FMLA). + Coordinate open enrollment processes, including communication materials, scheduling, and enrollment tracking. + Partner with Payroll and managers to support the administration of leaves of absence (FMLA, disability, PFL, Workers Comp etc.) in coordination with third-party administrators to ensure seamless transitions before, during, and after employee leave + Maintain accurate and confidential records and ensure timely communication with employees throughout the lifecycle. + Conduct New Employee Orientation and initiate follow up to ensure timely receipt of enrollment forms. + Maintain accurate and up-to-date employee benefits records. + Assist with benefit audits, reconciliations, and reporting requirements. + Maintain all necessary recordkeeping and reporting, including OSHA 300 logs + Participate in wellness programs and other HR initiatives as needed. + Conduct Benefit fairs and Q&A employee benefit sessions to assist employees + Assist and troubleshoot ADP benefit/log in/ technical issues with employees + Develop and distribute benefits of communications to employees, including plan summaries, enrollment materials, and policy changes. + Other projects and duties as assigned Qualifications Qualifications + Bachelor’s degree in Human Resources, Business Administration, or a related field. + 3+ years of experience in benefits administration or general HR support. + SHRM Certification a plus + Working knowledge of employee benefits and relevant laws (e.g., FMLA, HIPAA, COBRA, ACA). + Strong interpersonal and customer service skills. + High attention to detail and ability to manage multiple tasks simultaneously. + Proficient in HRIS and benefits platforms (e.g., ADP etc.) + Strong Excel and data entry skills. Position Status This is a full-time exempt position. Exempt employees are defined as employees who, based on duties performed and manner of compensation, shall be exempt from the Fair Labor Standards Act (FLSA) minimum wage and overtime provisions. Exempt employees are salaried and expected to work any hours above and beyond their regular schedule necessary to ensure completion of all tasks in a timely manner. This position may require additional hour as needed in response to program need, which included rotating weekend work. Work Environment This job operates in a professional office environment and outside in the field. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Must be able to travel among assigned sites and locations as needed.
