Position Summary:

The Human Resources Assistant provides essential administrative support to the HR department, ensuring smooth and efficient operations throughout the employee lifecycle (from recruitment to off-boarding). This role is responsible for maintaining HRIS data and personnel documentation, as well as tracking employee requirements such as clearances for compliance with applicable regulations, assisting with posting jobs, ensuring documentation is in proper order in preparation for internal and external audits, supporting internal communications such as the monthly newsletter, and providing administrative support with special projects for the HR department.

Assignments:

Tracking of Credentials, Clearances, and Physicals:

Monitor and track expiration dates for employee clearances, physicals, and applicable credentials. Communicate upcoming due dates to employees and their managers in a timely manner. Maintain accurate records and provide follow-up to ensure timely renewals.

HR Newsletter Coordination:

Draft and format the monthly HR newsletter. Collaborate with HR leadership and other departments to gather content. Ensure timely distribution and maintain an archive of past newsletters.

Personnel File Compliance:

Maintain up-to-date and compliant personnel files in accordance with company policies and legal requirements. Conduct periodic audits to ensure documentation accuracy and completeness. Support digital and physical file organization and security. Demonstrate mastery of the HRIS system.

General HR Administrative Support:

Assist with onboarding and offboarding processes. Respond to employee inquiries and direct them to appropriate resources. Support HR projects, events, and initiatives as needed. Perform data entry, generate reports, and maintain HRIS records. Manage incoming inquiries via calls and HR email inbox.

Education & Qualifications:

High School Diploma or equivalent required. Associate's degree in business, Human Resources, or a related field a plus. 1+ years of work experience in administrative or Human Resources adjacent functions preferred. Strong organizational skills and attention to detail. Excellent written and verbal communication skills. Ability to handle confidential information with discretion. Proficiency with Microsoft suite (Teams, Outlook, Excel, Word, PowerPoint, etc.) required. Canva experience is a plus.

Work Environment:

This position operates in a professional office environment. The role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.

Full-Time, Non-Exempt

$18.00-$19.00 per hour
