HR Generalist
Description We are looking for a front desk receptionist/admin to join our team in Waltham, Massachusetts. In this role, you will be instrumental in managing front desk operations, providing administrative support, and ensuring seamless office coordination. This position is ideal for someone who pays close attention to detail and thrives in a dynamic environment. Responsibilities: • Welcome visitors, clients, and vendors with professionalism, ensuring a positive experience from the moment they arrive. • Manage incoming calls by providing accurate information or directing inquiries to the appropriate team members. • Maintain the reception area to ensure it is clean, organized, and inviting at all times. • Provide administrative support by scheduling meetings, coordinating appointments, and managing calendars for leadership team members. • Handle tasks such as data entry, filing, and document organization while upholding confidentiality standards. • Prepare and distribute correspondence, reports, and other essential documents as requested. • Assist with order processing, invoicing, and basic account management duties to support the team's operations. • Monitor office supply levels and place orders to ensure the workspace remains functional and well-stocked. • Facilitate communication between departments to promote efficient workflows and collaboration. • Help plan and organize team meetings, events, and training sessions to enhance team engagement. Requirements • Minimum of 1-3 years of experience in a receptionist, front desk, or administrative role. • Strong organizational abilities with the capacity to manage multiple tasks and prioritize effectively. • Excellent verbal and written communication skills, with keen attention to detail. • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint. • Familiarity with scheduling systems or organizational tools is a plus. • Ability to handle sensitive information with discretion and a focus on detail. • Demonstrated ability to work collaboratively and adapt in a fast-paced environment.
