HR Assistant
Job Description We are seeking a detail-oriented and proactive Administrative & HR Support Specialist to join our fully remote team. This role is instrumental in supporting departmental operations, managing HR-related escalations, and ensuring smooth administrative workflows. Key Responsibilities + HR Escalation Management: Serve as a primary point of contact for sensitive or complex departmental inquiries. Manage and resolve HR-related escalations, ensuring timely and appropriate communication with HR leadership. + Administrative Support: Coordinate routine projects that support departmental or functional initiatives. Provide calendar management for one or more leaders and/or teams. + Meeting & Event Coordination: Support the planning and execution of meetings, training sessions, seminars, and departmental activities. + Onboarding: Assist with onboarding new partners, ensuring a seamless experience and compliance with HR policies and procedures. + Operational Tasks: Handle a variety of administrative duties including: + Budget tracking and invoice coding + Travel expense monitoring + Report generation and variance identification + Database updates and maintenance + Case & Email Management: Manage high volumes of email communications and case tickets, including compliance case processing, intake form handling, and ServiceNow (SNOW) documentation. + Inbox Oversight: Maintain shared inboxes and aliases, ensuring timely and organized responses. Daily Responsibilities + Process compliance cases and manage case creation + Split workload between two managers + Handle confidential and sensitive information with discretion + Send communications to managers and stakeholders + Perform administrative tasks related to ticketing systems Required Skills & Qualifications + Experience: 1–2 years in administrative support or HR coordination + Core Skills: + Human resources and HR administration + Customer service and onboarding + Escalation handling and compliance + Strong written and verbal communication + High attention to detail + Ability to work independently and cross-functionally + Experience managing sensitive and personal data with integrity + Tools & Systems: Familiarity with ServiceNow (SNOW) or similar ticketing systems is a plus Team Culture & Work Environment + Fully remote team environment + Highly collaborative, with communication primarily via chat + Role is part of a contact center team but does not involve phone support—focus is entirely on email case management Pay and Benefits The pay range for this position is $22.00 - $24.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
