HIS Department Float
The Health Information Services Float is primarily responsible for managing the Release of Information (ROI) processes while supporting various functions within the Health Information services department. This role ensures the integrity, accuracy, and confidentiality of patient health information and provides excellent customer service to patients, clinical staff, and other stakeholders. As a float position, there is an expectation to perform duties related to release of information, scanning, and document control as needed. The position requires collaboration with various departments to meet and exceed patient, physician, and customer expectations. We conduct groundbreaking research that advances treatment, we educate tomorrow's physician/researchers, and we work with amazing partners, including other Harvard Medical School-affiliated hospitals. + Manage the release of information (ROI) processes, ensuring all requests for Protected Health Information (PHI) are handled in compliance with HIPAA regulations and DFCI policies. + Review authorizations for completeness and process requests efficiently, utilizing the EPIC Release of Information application to manage and track requests. + Provide excellent customer service by educating requestors on procedures for obtaining medical record information and addressing any inquiries or issues related to ROI. + Act as a key contact for the department, promoting HIS practices in interactions with customer and co-workers, and provide ongoing communication, feedback, and follow-through with managers and customers. + Prep, scan, and index electronic health records, ensuring compliance with DFCI policies and procedures. + Perform record reviews for quality documentation and data integrity, identifying and correcting any discrepancies in a timely manner. + Maintain systems for identifying individuals with more than one medical record number and ensure accuracy of newly created medical records. + Manage the physician’s notification/suspension process, ensuring adherence to suspension policies according to DFCI and JCAHO standards. + Ensure compliance with Institute and departmental policies and procedures, maintaining confidentiality and privacy of patient information. + High school gradate with some college or healthcare experience preferred. College courses in computer information are advantageous. + Minimum 3 years in health information services or a related field. Experience with medical records processing, MPI management, and ROI processes preferred. + Strong organizational, problem-solving, and communication skills. + Ability to work cooperatively and efficiently with diverse groups. + Proficiency in Microsoft Office and medical information systems. + Ability to prioritize work and manage time effectively. **KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:** + Ability to gather and interpret data in situations in which the information or problems are straightforward. + Staff must respond appropriately to instructions, questions, or requests for information. + Must be self-motivated, proactive in communicating progress and issues, able to manage time effectively to meet deadlines and prioritize workload. + Ability to act professionally to ensure that PHI is kept confidential. + Must be detailed oriented. + Experience using medical information systems preferred – Epic experience a plus. + Thorough knowledge of confidentiality and privacy laws established by Federal and State guidelines, adhering to DFCI and departmental policies. + Must have the ability to multi-task and adapt to changes quickly. + Demonstrates strong interpersonal skills to include excellent oral communication skills along with the delivery of exemplary customer service. + Work requires sorting documentation alphabetically, sequentially by numbers, dates, and types.
