Position Summary: As an HIM Specialist, you will ensure the accuracy, consistency, quality, and security of patient data across multiple systems. This role blends traditional HIM responsibilities of filing and releasing information with emerging technology initiatives, supporting organizational goals for data-driven care, digital health transformation and compliance with HIMSS standards. The specialist contributes to process improvements, future technology adoption, and automation that enhances quality, operational efficiency, and provider workflows. This role supports both independent and team efforts in a fast-paced healthcare environment.
Essential Job Functions: · Maintain and manage electronic health records (EHR), by scanning, filing, and ensuring compliance with privacy, security, and information governance standards. · Log and process medical record requests based on established timelines. · Answer phones and assist customers and walk-ins in person. · Identify and merge duplicate patient charts in the EHR to ensure accurate, compliant records. · Manage and synchronize patient accounts via the electronic patient portal. · Maintain confidentiality and security of all medical records. · Investigate and resolve data integrity issues across systems. · Execute transactional processes to maintain dictionaries, databases and systems. · Perform data extraction, importing, merging, and exporting. · Assist with system implementation, testing, troubleshooting, and validation. · Analyze data to identify trends, root causes of issues and suggest optimizations. · Regularly audit data to ensure quality and consistency. · Track and reconcile data discrepancies and escalate as needed. · Prepare data reports, training materials, and business presentations. · Provide training to staff on data processes and tools. · Evaluate and implement emerging technologies (e.g., AI tools, automation, data quality solutions) to improve HIM workflows and data quality.
Qualifications: · High School diploma or equivalent required. · At least 2 years of relevant experience in data entry, health information management, medical records, healthcare data roles, or comparable computer roles. · Previous experience in a healthcare or medical setting is highly preferred. · Familiarity with data governance, interoperability concepts is a plus. · Strong computer literacy and ability to navigate multiple programs. · Excellent customer service skills and telephone etiquette. · Exceptional attention to detail and commitment to data accuracy. · Strong critical thinking, problem-solving skills, and thorough follow-through. · Ability to prioritize, multitask, and handle interruptions in a fast-paced environment. · Excellent interpersonal and communication skills—both written and verbal. · Ability to work both independently and collaboratively as part of a team.
Hours: Monday - Friday 8:30 am - 5 pm
