Position Summary:
The Executive Health Program Specialist is a key member of the Executive Health team, responsible for providing exceptional administrative support and outstanding service to our patients. This role serves as the first point of contact for patients, overseeing front desk operations, managing patient flow, responding to requests, coordinating communication between departments, and supporting billing and corporate outreach processes.
**Job Description:**
**Key Responsibilities:**
**1. Patient Check-In and Orientation**
+ Greet and check-in patients upon arrival.
+ Verify and update demographic and insurance information.
+ Obtain necessary consent forms and signatures, Orient patients to the suite (including lockers, refreshments, private workspace)
**2. Front Desk and Waiting Area Management**
+ Monitor patient flow and arrival/departure activity.
+ Collaborate with Clinical Team to ensure timely appointments.
+ Escort patients as needed.
+ Prepare patients’ paperwork for the following day.
+ Assist with Salesforce updates when patients arrive.
**3. Patient Communications and Scheduling**
+ Respond to patient inquiries in person, via phone, email, and Epic.
+ Book and manage patient appointments.
+ Collaborate with physicians on patient needs, including reviewing previous provider letters.
+ Create personalized itineraries and cost estimates.
+ Coordinate benefits verification, especially for international patients (e.g., Bermuda).
+ Send itinerary packets via email or mail as needed.
**4. Provider Letter Processing - Back-Up**
+ Print and deliver patient letters for provider signature.
+ Distribute signed letters to referring providers and release in Epic.
+ Log sent letters with patient name, MRN, date, and provider information.
**5. Corporate Agreement Support – Back-up**
+ Send contract templates and respond to corporate inquiries via phone or video calls.
+ Work with the legal department to finalize agreements.
+ Add corporations, screenings, and employees to Salesforce.
+ Send welcome letters to newly eligible executives.
+ Follow up with potential corporate clients to advance agreement stages.
**6. Executive Patient Outreach**
+ Run daily/monthly Salesforce reports to identify executive patients due for follow-up, based on previous year’s appointments.
+ Assist with proactive outreach to schedule return visits.
**7. Patient Billing Support**
+ Serve as backup for collecting payment from executive or corporate patients who exceed coverage limits.
+ Process payments via credit card at the desk or accompany patients to the cashier.
+ Bill for dermatology procedures when applicable.
+ Use Epic’s cash drawer function to reconcile payments.
**Qualifications:**
+ High School diploma or equivalent required; Associate's or Bachelor's degree preferred.
+ 2+ years of experience in a healthcare or front desk administrative role.
+ Familiarity with Epic, Salesforce, and Microsoft Office Suite strongly preferred.
+ Excellent communication and interpersonal skills.
+ Strong organizational skills and attention to detail.
+ Ability to multitask in a fast-paced, patient-centered environment.
+ Professional demeanor and ability to handle confidential information with discretion.
Licensure, Certification, Registration:
+ No license required.
Skills, Knowledge & Abilities:
+ Ability to receive and respond to patient calls and to discern level and type of care or response required.
+ Knowledge of medical terminology and experience with common general medical practices, procedures and techniques
+ Skilled using common medical office and clinical practice technologies such as: IDX, Medi-tech, CMS, RMS and or other clinical data base systems.
+ Ability to provide exceptional customer service in person or via telephone.
+ General knowledge of Professional and Technical Codes (CPT) used for billing procedures.
+ General knowledge of domestic insurance billing process and requirements.
