Guest Services Officer – Groups

As a Guest Services Officer – Groups, you will be the key figure in ensuring a smooth, personalized, and memorable experience for all group stays at the hotel. Acting as the main point of contact from arrival to departure, you will coordinate every detail of the group’s accommodation with precision, empathy, and professionalism. Your role is essential to delivering a flawless guest journey in close collaboration with Events, Housekeeping, and other departments.

Responsibilities:

Manage the rooming list and handle all related changes starting from the group’s arrival.

Communicate daily with the Event Planner regarding any updates or modifications.

Ensure proper room allocation, key preparation, amenities, welcome letters, and upgrades, according to the agreed Operational Summary (OS).

Confirm all upgrades with the Meeting Planner (MP) and the Events team.

Establish direct contact with the MP upon group arrival, acting as their main point of contact throughout the stay.

Coordinate operational details with Housekeeping and other departments, including room moves, early check-ins, late check-outs, etc.

Monitor the daily status of group rooms (occupied, vacant, no-shows, etc.).

Review and validate accommodation billing with the Event Planner at the end of the group’s stay.

Actively participate in operational meetings, including Pre-Cons, daily briefings, and post-stay reviews alongside the Sales and Events teams.

Familiarity with hotel systems (PMS, Channel Manager; experience with Opera is a plus)
