Grants & Contracts Administrator, Pre-Award - Public Health Sciences (Remote Eligible)

The Department of Public Health Sciences (PHS) at the University of Virginia, School of Medicine, seeks a full-time Grants and Contracts Administrator to work with the faculty researchers in PHS. This position is eligible to be remote.

The Grants and Contracts Administrator will provide primarily pre-award support; post-award or a combination of grants and contracts responsibilities in response to specific guidelines or terms and conditions may also be required. The successful candidate will facilitate the proposal submission and award administration process. The incumbent will understand sponsor requirements and interpret guidelines for the Principal Investigator. In addition, the successful candidate will be responsible for the processing of proposal or award amendments, communicating with sponsor as needed, and serve as the primary contact for internal and external subcontracts and sponsors.

Responsibilities

Pre-Award Administration

Manage submission of grant proposalsWork with PIs to develop budget in accordance with sponsor and University policiesReview research and sponsored programs related documents at proposal stage to ensure compliance with sponsor guidelines; identify issues, coordinate revisions and corrections with investigators (both internal and external)Coordinate subcontract documentsLiaise with PI, internal/external collaborators and grants officesProvide guidance to faculty and staff in understanding applicable award policies and obligations, and ensure compliance with state, Federal and University rules, regulations, policies, and practices

Additional Roles and Responsibilities

Provide oversight of internally funded grants.Assist PIs and other research staff with submission of just in time requests, progress/final reports, and non-funded agreements.Serve as internal liaison with Office of Sponsored Programs and post-award team to ensure that all funds are set up in a timely manner; prepare necessary at-risk accounts and no-cost extensions.In addition to the above job responsibilities, other duties may be assigned.

Knowledge & Skills

Demonstrated knowledge of research administrationDemonstrated ability to manage competing priorities and maintain quality of workResolve issues efficiently while maintaining strong attention to detailStrong written and verbal communication skillsSolid technical aptitude and willingness to learn research and financial systems (e.g., Workday Financials, QlikSense, Huron Research Suite)Proficiency in Microsoft Excel with a desire to further develop advanced skillsStrong understanding of Microsoft Office Suite

Minimum Requirements

Education: Bachelor's degree.
Experience: At least three years of grant and contract experience; four additional years of experience may be accepted in lieu of degree.

Physical Demands: This is primarily a sedentary job involving extensive use of desktop computers. This role does occasionally require traveling some distance to attend meetings and/or programs.

Preferred Qualifications

Licensure: Certified Research Administrator (CRA) certification.

Experience and Skills:

Demonstrated ability to clearly communicate with internal and external stakeholders as it relates to sponsored projects researchDemonstrated ability to adapt and work independently with a focus on problem solving and customer service. Demonstrated aptitude for process improvementFamiliarity with federal funding agencies, private sponsors, and sponsor-specific requirements

This is a restricted position, which is dependent on funding. While there is no planned term-limitation at this time, the position is contingent upon funding availability.

Anticipated salary is commensurate with qualifications and experience.
