PURPOSE This position is responsible for the timely and accurate review and documentation of policies/rules/procedures relevant to graduate compliance; timely and accurate processing of graduate degree requirements, e.g., finalizing degree plans, exceptions, etc; and monitoring of graduate students' academic progress and achievement. DESCRIPTION Functional Area 1: Compliance: Assurance Percent Effort: 45% + Assist with reviewing the graduate catalog and ensure alignment with university, state, and federal policies and practices. Review curriculum changes at the graduate level in our catalog and curriculum software. + Assist with the initiation, development, maintenance and revisions of graduate student policies and procedures for the graduate population. + Review and process all incoming exception/substitution/ transfer/revalidation requests and graduation/revalidation appeals for graduate students. + Identify potential areas of compliance vulnerability and risk within graduate student compliance; assist with the development and support corrective action plans to ensure continued adherence to academic policies. + Process all incoming requests for student record updates to include but not limited to, catalog year changes, concentration updates, addition of secondary program, leave of absence requests, and student reactivation requests Functional Area 2: End of Term Processing Percent Effort: 20% + Perform academic standing review for graduate students each long term and mini term. + Ensure all graduate students are coded in the correct academic standing status in our Student Information System and make updates as needed. + Run reports as needed to validate and verify end-of-term processes and submit IT requests for student updates as needed. + Re-evaluate student records after change of grade processes. + Review and process academic standing assessment (ASA) requests, to include ensuring compliance with the ASA. + Communicate with students, advisors, program coordinators, and other faculty and staff as needed. Functional Area 3: Degree Audit and Clearance Percent Effort: 30% + Create and modify scribe for degree audit system to align with graduate catalog and policies pertaining to correct catalog year. + Assist with duties related to the in-depth review of graduate student records for degree clearance. + Process any degree clearance related forms and ensure timely submissions of all forms. + File all degree clearance forms in student record repository. + Collaborate with Graduate Education Coordinator to ensure that students are meeting all deadlines and degree requirements for graduation. Functional Area 4: Percent Effort: 5% + Include but are not limited to assisting with events (orientation, professional development, commencement related activities, etc)., performing retention efforts, and training. + Perform other duties as assigned. QUALIFICATIONS + Bachelor’s degree + Two (2) years related experience + Intermediate skills in Microsoft Office Suite + Verbal and written communication skills. + Ability to multi-task and work cooperatively with others.
