POSITION SUMMARY: The Mobility Coordinator, under the direction of the Transportation Planner, is responsible for facilitating the efficient operation of the Transit Program by performing a wide variety of clerical and administrative support tasks. The Mobility Coordinator will serve as backup driver for the Transit Program.
ESSENTIAL FUNCTIONS: (includes, but is not limited to, the following)
Receives trip requests and schedules appropriate services for eligible customers. Collects, tracks, and compiles data, performs data entry, and creates reports. Coordinates transportation schedules and driver manifests using scheduling software. Coordinates, assigns and dispatches drivers to trips, ensuring timely pick-ups and deliveries. Assists with handling emergency situations and facilitating communication between drivers and emergency services. Provides excellent customer service. Acts as liaison or main point of contact providing information, fielding questions, and connecting with other staff, services or resources. Assists with various mobility management projects and programs. Evaluates existing services, identifying gaps or areas of improvement, and makes recommendations for improvements. Assists with developing various marketing and informational materials to include assembling, organizing and distributing. Assists with promoting available transportation resources. Provides assistance with the Regional Tribal Transit program, which includes Rides to Wellness, Non-Emergency Medical Transportation, Vanpool, bike/walk, shuttles and other emerging transportation options for tribal members across the seven-county service area. Verifies service eligibility by interpreting regulations, applying knowledge and following policies, procedures, regulations and contractual requirements of funding sources. Records management, filing, maintaining, archiving and retrieving documents. Maintains Regional Tribal Transit website. Composes, proofreads, and routes correspondence. Completes, prepares, processes, routes, and tracks various forms and other documents. Compiles monthly invoices and prepares billing statements. Schedules regular and unforeseen vehicle and equipment repairs. Acts as backup driver for transit program providing safe and reliable transportation. Assists with driver training. PHYSICAL REQUIREMENTS:
Position primarily sedentary with prolonged sitting, keyboarding and reading with occasional lifting of maximum of 50 pounds. Physical factors include constant sitting, use of hearing, and typing; frequent use of near vision, smelling, midrange vision, far vision, depth perception, color and field of vision and driving; occasional standing and walking; occasional carrying, lifting, pushing pulling maximum of 50 pounds; occasional climbing, stooping, kneeling, reaching and manual handling and bending. Normal office conditions exist, and the noise level in the work environment can vary from low to moderate. Working conditions include occasional exposure to weather, extreme heat/cold, wet/humidity, and noise and air quality, vibration. Potential hazards include constant client contact, frequent exposure to computer use, exposure to moving mechanical parts, electric shock, chemicals, infectious exposure and equipment.
REQUIREMENTS:
Education: High School diploma or GED. Associates degree in Business, Office Administration or related field preferred.
Experience: Three years of administrative office support experience required. One year in public transportation scheduling or dispatching experience preferred. Experience with scheduling software preferred.
Certification/License: Must successfully complete CPR/First Aid Training and obtain CPR Certification within 3 months of hire. Must have valid Chauffer’s License. Must have a valid driver’s license and be insurable by the Sault Tribe Insurance Department. Must comply with annual driver’s license review and insurability standards with the Sault Tribe Insurance Department. Will be required to complete and pass pre-employment drug testing.
Knowledge, Skills and Abilities: Knowledge of the tribal service area required. Knowledge of existing community resources preferred. Must be computer proficient with knowledge and ability to use Microsoft Word, Excel, and Power Point software. Must have knowledge of or the ability to learn mobility scheduling software. Ability to operate and troubleshoot general office equipment such as printers, fax machines, scanners, and phones is required. Must be able to operate communications equipment and vehicles. Must have the ability to utilize person-centered or client-based approaches to customer service in the effort to research, understand, resolve issues, and respond to the needs of individuals with specialized transportation needs to ensure a successful and positive experience. Must be able to work independently with little to no supervision. Must have excellent interpersonal skills and the ability to network and work cooperatively with various stakeholders, transit providers, agencies, departments, and staff. Must be friendly, professional, and have excellent customer service skills. Strong written and verbal communication skills required. Must have the ability to communicate professionally with public regardless of any expression of diversity. Must have the ability to multi-task, prioritize work, and meet deadlines in a fast-paced environment. Accuracy and strong organizational skills are a must. Must maintain strict confidentiality. Native American preferred.
