Job Description: Global Events Specialist
Purpose of the Role
The Global Events Specialist executes the Global Events program by contributing to demand management, cost optimization, process efficiency, and governance implementation. This role coordinates event services, supplier management, and stakeholder collaboration to ensure high-quality and cost-effective event delivery.
Individual Accountabilities
Demand Managemen
Implement demand management processes by collecting and maintaining accurate event forecasts and reports.Support the deployment of the Operating Model by ensuring compliance with established processes and guidelines.Collaborate with key partners to maximize volume channeled through PMI preferred suppliers (Hotels, Airlines, etc.).
Operational Excellence
Provide strategic insights to optimize events: best locations, season, vendors & venues.Cascade demand to approved global service providers and refine offers to deliver proposals that fit internal customer needs.Support logistics sourcing, offer evaluation, benchmarking, and recommendations.Manage supplier contracting and coordination.Maintain the events database for KPI tracking, cost benchmarking, and reporting.Conduct post-project reviews and surveys to evaluate supplier performance and event success.
Stakeholder Influence, Collaboration & Governance
Engage with stakeholders to develop relationships, establish credibility, and ensure early involvement.Act as a liaison between internal stakeholders and event service providers to ensure alignment and timely communication.Prepare governance materials including standardized forms, checklists, and post-event evaluations.Support supplier performance reviews and contribute to continuous improvement efforts.
