The Front Office Receptionist & Administration plays a key role in ensuring the efficient functioning of an office (front office) by managing administrative tasks, supporting communication and maintaining accurate documentation in accordance with established procedures and guidelines. This role supports internal and external stakeholders by handling routine inquiries, managing confidential documentation and coordinating day-to-day administrative processes to maintain organizational efficiency.
This role typically serves as the first point of contact for employees, guests, and other stakeholders. Any issues, discrepancies, or requests for support are directed to this individual, who is responsible for determining the appropriate course of action and directing matters to the appropriate individuals or departments as needed.

Responsibilities:1. Reception and correspondence management
Incoming and outgoing correspondence management.Issuing Visitor cards for guests and their registration.2. Documentation and information flow management
Supervising document flow in the company.Verifying, entering and updating data in systems (KD, SharePoint, etc.).Creating split costs in Excel for invoices (FedEx, DHL, Poczta Polska, T-Mobile) and cooperation with accounting.3. Office and event organization
Organization of meetings and office events, including booking rooms, ordering catering and preparing conference rooms etc.Reserving parking spaces.Current reporting and coordination of office fault repairs.4. Purchases and supplies
Placing orders in the ePro system (office supplies, food, gas cylinders, gadgets etc.)Ordering and managing company phones.5. Internal support and cooperation
Managing internal communication (e-mail, Teams) - preparing appropriate communicates.Daily support for employees in current matters.6. Coordination of the Charity Partner program
7. Additional administrative activities
Preparing awards for employees for winning competitions.Co-creating a positive image of the companyQualifications:Higher education.Previous experience in a secretarial/administrative position.Excellent organizational, time management and communication skills.Strong interpersonal skills and adaptability.Ability to prepare stock inventory and process office bills.Ability to act quickly under time pressure.Familiarity with office software (e.g. Microsoft Office Suite) and ability to learn new systems quickly.Fluency in English, additional languages are an asset.Ability to handle confidential information discreetly.Graphic skills are a plus (Canva, PowerPoint).Key competencies:1.Operational excellence
