Front Desk Coordinator
Description Our client, a well-established organization located in the heart of downtown La Jolla, CA, is searching for an organized and personable Front Desk Coordinator to serve as the face of their office. This is an exciting opportunity to join a dynamic team while ensuring the office runs smoothly and providing a warm, welcoming experience for both clients and staff. Key Responsibilities: + Greet all visitors and clients with professionalism and a friendly demeanor. + Manage and direct incoming calls, emails, and inquiries, ensuring prompt responses or redirection to the appropriate team members. + Schedule and confirm appointments and meetings, maintaining up-to-date calendars for staff members as needed. + Maintain and organize the front office area, ensuring it is clean, professional, and welcoming at all times. + Assist with filing, data entry, and record-keeping, ensuring accurate and efficient handling of documentation. + Coordinate mail distribution, package deliveries, and outgoing shipments. + Partner with internal departments to support administrative needs, including processing paperwork and coordinating logistics for office activities. + Ensure all office supplies are inventoried and restocked, managing orders for supplies and vendor relations as necessary. Requirements + 1+ years of experience in a front desk, receptionist, or similar administrative role (preferred in a fast-paced or customer service-oriented environment). + Outstanding organizational and multitasking skills, with attention to detail. + Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel) and basic familiarity with office equipment. + Excellent verbal and written communication skills, with a positive and welcoming attitude. + A proactive approach to problem-solving and juggling competing priorities. + Discretion and professionalism when handling sensitive information. + A passion for providing exceptional service to clients and visitors.
