Anticipated Salary Range: $61,116.00 - $80,000.00. The salary range for this role is intended as a good faith estimate based on the role's location, expectations, and responsibilities. When extending an offer, Enlighten takes a variety of factors into consideration which include, but are not limited to, the role's function, internal equity and a candidate's education or training, work experience, certifications and key skills. Occasionally positions/roles may include additional non-recurrent compensation and will be addressed by the recruiter during the interview process.
 

Job Description

Enlighten is actively seeking a highly motivated and organized individual to fill the critical role of Front Desk/Administrative Specialist at our corporate headquarters. This position is central to the smooth operation of our office and serves as the first point of contact for all visitors and callers. This pivotal role demands a strong customer service orientation and meticulous attention to detail. The position requires daily on-site presence to greet visitors and perform a variety of essential administrative tasks.

Essential Job Responsibilities Serve as the first point of contact for all visitors, clients, and employees, providing a warm and professional welcome. Manage the visitor check-in process, ensuring all guests are properly greeted, welcomed, and directed to the appropriate individual or meeting location. Build relationships with employees and managers to foster a positive work environment. Assist with new hire first-day experiences. Work with the back office to support our distributed workforce. Providing robust administrative support across various departments. This encompasses managing office supplies and inventory, coordinating internal and external mail and deliveries, organizing and maintaining physical and digital files, and assisting with general office upkeep to ensure a professional and functional environment. Work with remote office leadership to ensure requested office supplies/snacks remain stocked. Conduct daily opening/closing procedures for Enlighten's corporate headquarters. Process timely and accurate Meeting and PCard expenses, including data collection, reconcile receipts, travel expenses and data entry, following established Enlighten/HII business rules. Create and submit purchase requests (PRs) for indirect purchases. Maintain accurate records of purchases and supplier agreements. Act as a backup for expense processing. Other duties as assigned. Minimum Qualifications Security Clearance - Current U.S. Government Security Clearance is not required to start, but could be processed for a clearance and therefore all candidates must be a U.S. Citizen. Must have 3 years of prior work experience as a receptionist, office administrator, personal assistant, and/or an administrative specialist with Bachelors in related field; 1 year experience with Masters in related field; or High School diploma or equivalent and 7 years relevant experience. Understanding of the employee lifecycle, with the ability to recommend process-oriented and/or operational solutions to improve the team member experience. Experience conducting expense reconciliation with accuracy and attention to detail. Experience with G-Suite (Gmail, Google Sheets, etc.). Independently manage and prioritize a diverse workload, including both scheduled and ad-hoc tasks, to meet all deadlines without direct supervision. Strong work ethic and a self-starter.   Proficient in MS Office Products (Word, Excel including Pivot Tables and charting, PowerPoint, and Outlook) and Adobe Acrobat Professional. Maintain organized and accessible physical and digital filing systems, ensuring all documentation is up-to-date and easily retrievable. Meticulously and accurately enter and manage data for a wide range of administrative tasks, including expense reports, purchase requests, and employee records. Excellent grammar, punctuation, spelling and proofreading skills. Strong attention to detail and flexibility. Strong verbal and written communications with the ability to effectively communicate at multiple levels within the company. Must be able to commit to work hours in the range of 8:00am - 5:00pm daily at our headquarters in Columbia, MD. Preferred Requirements Prior experience supporting a government contractor. Experience with Cost Point and Deltek. Experience working with LLMs to assist in daily operations especially with Gemini Physical Requirements

Must be able to perform minor lifting and carrying of boxes or equipment; 10-20 lbs.
