Contract: 6 month Fixed Term Contract, Full Time

Shifts: 37.5 hours per week, Monday to Friday, rotating shifts between 8.45am and 6.00pm with 1 hour unpaid lunch break

Purpose of role

The Floor Support Assistant will perform all floor support operations requested by a customer without direct supervision. This includes, filing, archive/deeds management, processing and delivery of all incoming and outgoing mail/messenger and courier items, copying, scanning and printing and completing general administrative duties as required.

The Floor Support Assistant remains accountable for establishing and maintaining an ongoing service-based relationship with the client and customers and will be able to recognise and translate customer needs and expectations into a responsive service.

Key responsibilities

Delivering an exceptional electronic and hard copy file management serviceReturn or add documents to existing client filesWork with the practice management system to log and record documentsHandle and administer closed files as requestedFiling and file housekeepingUnderstanding and processing of principle documentsMaintain all filing and work areas in a tidy and orderly mannerCollect file and documents from client areas and return files to shelvesSort, scan, rename, distribute incoming mail to the dedicated centralised filing areaMaintain equipment to a good working order and troubleshoot problems, place service calls when neededFollow all stock and consumable procedures. Replenish copiers with all consumablesPrioritise jobs and run them to meet customer requirements and deadlinesProvide photocopying, scanning, and printing as per customer instructionsCollect and accurately input monthly forecast informationCollect and complete any information required for billing or client charge back dataUtilise appropriate paperworkEnsure that job requests are tracked on system properly before beginning new requestUnderstand and comply with Floor support corporate standards. Constantly seek ways to improve operations and suggest and implement approved ideasBinding final form documentsExtensive computer and data related tasksUsage of internal and external portals/systemsAdding contacts to the clients databaseDeal with any customer enquires in a prompt and efficient mannerAccept requests for Williams Lea work, notifying customers of estimated completion time as appropriate and in line with service level agreementsCommunicate with customers on job or deadlines issues
