Our rich diversity of people and ideas makes us a stronger, more innovative organization. **Job Summary** The Fleet Coordinator is responsible for performing a variety of job duties such as reviewing and routing CADRs, EERPs, Disposals, and Asset Transfers. Also, assist with data entry of assets with specific Division information, procurement, and disposal of equipment. This position supports the Fleet team and works with personnel within various departments. The Fleet Coordinator supports the daily operations and compliance of our vehicle and equipment fleet. This role plays a critical part in maintaining fleet efficiency, safety, and regulatory compliance in alignment with company and industry standards. Responsibilities + Coordinate maintenance schedules, inspections, and service records for company vehicles and equipment. + Ensure fleet compliance with DNV standards, including safety inspections, certification tracking, and documentation management. + Assist with internal and external audits by preparing reports, inspection records, and maintenance logs in accordance with DNV guidelines. + Monitor fleet tracking systems, fuel usage, and mileage logs to support operational efficiency. + Maintain accurate and up-to-date records in fleet management systems, including registration, insurance, and service history. + Communicate with vendors and service providers to ensure timely maintenance and repairs. + Support procurement and decommissioning of fleet assets as needed. + Collaborate with safety and operations teams to ensure all vehicles meet compliance and readiness standards. + Use tracking and reporting functions to support the division with all fleet, equipment, and driver related functions. + Review CADRs, EERPs, disposals, and transfers for accuracy; monitor and track all transactions to ensure efficiency. + Report transactions or functions that may be perceived as wasteful or excessive. + Make every effort to capture and input all data points ensuring accuracy of reporting. + Track all toll expenses within our division. + Log and track safety recalls on all applicable vehicles. + Maintain an up to date record of all divisional assets and all related details pertaining to assets (vin #, make and model, year, etc.). Qualifications **Minimum** + High school diploma, or equivalent. + 1 year of experience. + Experience in fleet coordination, logistics, or a related field preferred. + Familiarity with DNV or other regulatory compliance standards. + Strong organizational skills with attention to detail. + Proficient in Microsoft Office Suite and fleet management software. + Excellent communication and time management skills. **Preferred** + 3 or more years of experience. + Working knowledge of DOT (Department of Transportation) regulations related to fleet operations and driver compliance. **Physical Demands and Work Environment** This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, copiers, and scanners. This position is primarily sedentary, with some filing or lifting required.
