Fixed Asset Liaison

I. Job Summary

Direct point of contact for multiple field teams (District, Area, or Functional Group) in regards to assigned projects and/or any of the following as assigned: correspondence, various administration tasks, tracking project deliverables, dates and monitoring deadlines; provides regular and timely reports highlighting variances as they arise. 

 

II. Essential Duties and Responsibilities

 

Updates necessary tracking system(s) to ensure that project and/or program status is maintained with complete accuracy, including third party management systems. Creates and distributes correspondence relevant to the team, project or program (internal and external). Assists with administrative preparation for various meetings. Communicates all issues to management prior to reaching critical status. Field point of contact – receive all field A2R requests and route through ServiceNow. Develops and maintains accurate and complete files for projects and programs; continues to monitor for integrity and completeness. Provides ad hoc reports as requested. Provides additional administrative support as required. Issue vendor PO’s, as needed. Create, Close, Process, and Monitor Projects in PPM along with PPM asset shell creation. Identify and prepare all required PPM direct cost entries processing completed PPM projects to move to Oracle FA (estimate to as-built). Reconcile PPM to CIP. Review ServiceNow tickets and uses independent discretion to solve independently or distribute to appropriate team for processing. Coordinate with Project Managers and related parties on open requests, as needed. Provide back-up for Capital PO creation and maintenance, ensure capital is available for Area projects, and Evaluate Capital projects to determine if they meet capitalization criteria and allocate all landfill capital. Set and host monthly meetings with PM’s and related parties. Review status of FA, PPM, Coupa, and any open items/request. Review reporting to identify and address imbalances to complete reconciliation and address area aging unassigned CIP balances. Collaborates with peers to share knowledge and experience to assist in process improvement. Other duties as assigned.

 

III. Qualifications

A. Required Qualifications

 

High School Diploma or GED (accredited) and 4 years of relevant work experience. 5 years of previous experience in a general business environment with project coordination and/or administration experience (in addition to education requirement)  Must be in the Houston area; no relocations. Must be authorized to work in the US.

 

B. Preferred Qualifications

 

Associate's Degree accredited) in Accounting, Business Administration, or similar area of study Oracle, OneStream, Coupa, Blackline, and Excel experience preferred
