The office manager is responsible for managing the inner office of a district in a manner that will free the district manager to concentrate his/her efforts on sales and service to the greatest possible extent. This includes initiating and coordinating the clerical functions required in effective implementation of administrative policies of a district office. The office manager sets the example for all inner office personnel in relationship to professional appearance, knowledge, and attitude.
ESSENTIAL FUNCTIONS:
• Trains (and cross-trains), supervises, coordinates, and evaluates the work of one or more clerical positions in lower classifications. This includes completing the annual performance evaluation of the lower clerical positions.
• Works with the district manager in the submission and maintenance of pending agency employment applications.
• Produces various reports and spreadsheets as required by the home office or by the district manager.
• Processes new business applications and subsequent follow-ups to issues.
• Receives renewal premiums and enters such premiums in the CASH system in a manner to ensure premium application to the correct accounts and policies. Total accuracy is necessary to prevent misapplication.
• Organizes and maintains district files and records, both electronic and paper.
• Answers the telephone and directs calls to appropriate person and/or handling calls if appropriate.
• Performs policy service activities for policyholders, including the processing of reinstatements, policy loans, cash surrenders, policy changes, and death claims.
• Maintains the financial records of the district office and balances the collections received from agents, counter pay, mail pay, and payment relays.
• Maintains the district office bank account, including reconciliations and processing of NSF checks.
• Provides the district manager with training, licensing (including renewal), and continuing education information.
• Maintains a file for automobile liability requirements for the entire district and maintains the inquiry log.
QUALIFICATIONS:
• High school diploma.
• No experience required.
• Supervisory/management experience not applicable.
Additional Qualifications:
• Must be proficient in the use of the company’s LEAP and HEAP systems
• Knowledgeable in the following applications: EASI, MobileAgent, Sales Support System, 2
• Must be familiar with policy application forms and all company material o Must be familiar with basic company insurance plans
SPECIAL POSITION REQUIREMENTS:
• A person in this position performs a variety of routine work within established policies and procedures and receives detailed instructions on new projects and assignments.
PREFERENCES:
• One year of related experience preferred.
Hourly rate for this position is $17.44 for qualified candidates. Candidates outside of the range are encouraged to apply and will be considered based on experience and skill.
