The Facility Coordinator Maintenance provides essential support for daily facility operations with focus on service delivery, event assistance, maintenance, and administrative functions. This role helps maintain facility services by supporting the events calendar, assisting with team assignments, monitoring communication channels, processing service requests in Service Now, and performing preventive and repair maintenance to ensure optimal facility operations.
PRIMARY RESPONSIBILITIES
Event Support & Assistance (25% of role)
• Support the implementation of the events calendar, ensuring accurate scheduling information • Execute event setup responsibilities based on specifications and requirements • Implement event logistics including room configuration, equipment setup, and special arrangements • Create Service Now tickets for scheduled events and meetings in designated spaces • Participate in pre-event preparations to ensure readiness • Complete event setups and breakdown according to established standards • Follow standardized setup configurations for common meeting arrangements • Address immediate needs during event execution
Maintenance (30% of role)
• Perform ongoing preventive and repair response work orders on facility mechanical, electrical, plumbing and other installed systems, equipment, and components • Conduct facility inspections and due diligence efforts, reporting conditions impacting client occupancy and operations • Perform general interior maintenance – hang pictures, install keyboard trays, repair office furniture systems and doors • Replace lighting and ballasts • Clean HVAC coils, change filters and belts • Move office furniture, machinery, equipment and other materials as requested • Assist the operations team in the maintenance and repair of building and equipment as directed
Service Request Processing (25% of role)
• Process and track Customer Request Service (CRS) tickets in Service Now • Update ticket status and information to maintain compliance with service level agreements • Monitor Service Now tickets and update work order status in real time • Utilize CMMS systems such as 360 Facility for all work performed • Review open tickets to identify any requiring immediate attention • Document ticket activities according to established protocols • Assist with basic reporting on service request activity • Report recurring issues or patterns in service requests • Categorize and prioritize incoming service requests • Follow up on assigned service tickets to ensure timely resolution
Communications & Administrative Support (20% of role)
• Monitor communications channels including email and service request systems • Respond to routine facilities inquiries and direct complex matters appropriately • Participate in daily team meetings to review schedules and assignments • Maintain communication with building occupants regarding facilities matters • Follow weekly team schedules based on assigned responsibilities • Apply proper documentation practices for service requests and event support • Support quality control measures through consistent service delivery • Provide coverage during busy periods or team member absences • Escalate problems or issues to Customer and Manager in a timely manner • Attend work and safety meetings as required • Perform vehicle safety inspection (if mobile)
SAFETY RESPONSIBILITIES
• Complete Hazard Assessments as necessary • Comply with all safety procedures, maintaining good housekeeping and safety of work areas • Recognize danger and safety hazards and propose methods to eliminate them • Maintain compliance with State, County, or City Ordinances, Codes, or Laws • Complete all required safety trainings as scheduled • Practice Defensive Driving at all times • Comply with all policies for the safe storage, usage and disposal of hazardous materials
ADDITIONAL RESPONSIBILITIES
• Implement tactical plans as directed by Facilities Management • Provide facility-specific support for projects as assigned • Perform routine facility management tasks • Support special events for the client or JLL • Assist with conference room setup and reservations • Help coordinate scheduled maintenance activities • Monitor office/facility conditions and report issues • Interact professionally with clients, visitors and guests • Follow up with customers to ensure satisfaction • Provide information to vendors and service providers as directed • Support security protocols and procedures • Assist with basic budget-related documentation • Report budget variances as identified • Any and all other duties and tasks assigned
KEY PERFORMANCE INDICATORS
• Timely completion of assigned tasks according to established standards • Service Now ticket update accuracy and timeliness • Response time to assigned inquiries and requests • Productivity and task completion rates • Customer feedback on service quality • Documentation accuracy and completeness • Adherence to established protocols and procedures
SCHEDULE AND WORKLOAD
• Full-time position, Monday through Friday during standard business hours • Occasional schedule adjustments may be required for special events • Attendance at daily team coordination meetings • Work volume may increase during busy event periods
QUALIFICATIONS
MINIMUM REQUIRED
• High school diploma or equivalent
• Minimum of 1-3 years of applicable working experience in general building repair and maintenance, basic plumbing, and basic electrical
• Strong customer service skills • Strong interpersonal skills
• Experience in facility operations, event support, or administrative tasks
• Professional demeanor and communication skills
• Ability to organize and prioritize work effectively
• Capable of working independently and following instructions
• Basic proficiency in MS Office applications
• Good organizational skills and team-oriented approach
• Familiarity with basic reporting and documentation processes
• Valid state driver's license (if mobile)
PREFERRED
• 3rd Party Certification • Additional years of relevant experience
PHYSICAL WORK REQUIREMENTS AND WORK CONDITIONS
• Lifting up to 80 lbs.
• Working from heights
• Frequently climbing, bending, lifting, kneeling, stooping, and working/extending overhead
• Working in adverse conditions (i.e., extreme cold, extreme hot)
• Driving for long periods of time
• Climbing a ladder with a 300 lb weight limit while carrying a tool bag weighing approximately 20 lbs.
• Climbing a ladder up to 30 feet
This position reports to the Senior Facility Coordinator or Facilities Manager and works collaboratively with the facilities team to deliver consistent service across building operations, with emphasis on maintenance, event support and administrative functions.
Estimated total compensation for this position:
