Facility Coordinator

What this job involves: Provide comprehensive facility coordination services for a critical BioPharma manufacturing/research site including financial administration. Partner with property managers and cross-functional teams to ensure seamless facility operations with pharmaceutical industry standards. Manage accounting functions including invoicing, receipting, and financial reconciliation to support facility operations.

Your day-to-day tasks will include:

Execute financial processes including PO creation, invoice processing, expense receipting, and reconciliation using JD Edwards (JDE) ERP systemProcess vendor invoices and ensure accurate coding for facility-related expensesMaintain detailed financial records and prepare accounting reports for facility operationsAssist Facility Management Team with tactical planning and budget tracking for team goals and objectivesCoordinate with property managers on routine operations including procurement of facility supplies and specialized BioPharma equipmentHelp manage vendor relationships including escorting contractors through controlled access areas per BioPharma protocolsSupport project management team with facility-specific requirements and compliance documentationCoordinate maintenance activities while ensuring minimal disruption to critical BioPharma operationsProvide continuous monitoring of facility systems critical to pharmaceutical operationsServe as primary interface with internal clients, visitors, and vendors requiring facility accessEnsure proper follow-up on all facility requests and maintain service excellence standardsSupport vehicle and equipment logistics coordination as needed

Required Qualifications:

3+ years' experience in Facility Administration, Property Management, or Accounting/Finance rolesProven experience with accounting functions including invoicing, receipting, and financial reconciliationProficiency in JD Edwards (JDE) ERP system strongly preferredAdvanced Excel skills with capability to create and customize financial and administrative reportsExperience with accounts payable processes and vendor invoice managementSuperior customer service skills and client-focused orientationProficient in MS Office Suite with strong written, verbal and interpersonal communication skillsExperience working in regulated environments (pharmaceutical/biotech preferred)

Preferred Qualifications:

Background in BioPharma, life sciences, or other regulated industry environmentsKnowledge of pharmaceutical facility compliance requirementsAbility to plan and manage work under time constraints while maintaining accuracyStrong multitasking abilities and capability to work independently with minimal supervisionExcellent organizational skills and collaborative working styleExperience with facility management software systems and maintenance coordination platforms

Estimated total compensation for this position:

49,500.00 – 65,000.00 USD per year

The total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data .
