What this job involves -
JLL is looking for a Facility Coordinator to support our client in Anaheim, CA. The Facilities Coordinator will provide support to the Facility Managers with operational activities in maintenance and operations, accounting and finance, vendor oversight, equipment and supplies, occupancy services and proactively develop and maintain client relationships ensuring that expected service levels are achieved. He/she will be required to be onsite during working hours.
Your day to day:
ResponsibilitiesDirectly support the Facility Management and Engineering Team with on-going facility and team related responsibilities including, but not limited to: client customer service, quality check of work orders, reviewing data, support client users and assisting with financial reporting and tracking. Ensures appropriate follow up with customersProvides support for guests, visitors, vendors, and employees at JLL managed client locations. Front desk support to assist employees directly with inquiries and needs. Acts as an interface with client, visitors and guests. Acts collaboratively to solve problems and resolve spontaneous and unique situations with professionalism and service orientation. Ensures delivery of committed services and overall satisfaction with Jones Lang LaSalle performance. Demonstrate leadership, responsiveness and creativity in finding solutions for service delivery.Assists with receiving and dispatching of work requests to technical staff and vendors including: invoicing follow up, payment status inquires, ordering and processing invoices for all material purchases and monthly reoccurring costsPerforms visual inspections of common area spacesResponsible for ordering signage for entire client portfolioGather janitorial and pantry supply orders, and work with client to order and receive productSupport associated with all building services including janitorial, breakrooms, restrooms, parking, badging, conference rooms and common area equipmentCoordinates special events in support of client or JLLProvides support for meetings and conference room reservations, as needed and directedAssists management and staff with operational reporting, budgeting, financial systems, and purchases.Administrative support of JLL annual property audits, procedure documentation, electronic filing, team meeting notes. Submit vendor safety plans for approval. Attend client meetings when requestedDaily mail review and sorting. Maintain DLR Building Management shared inboxHelps support facility specific cost savings targets to contribute to the account achieving significant savingsProvides specific assistance to the building management team (project manager, designers, furniture vendor) as needed or requestedReads and understands the applicable client and vendor Service Level Agreements, helps achieve the Key Performance Indicators and scores favorably on the client satisfaction surveys.Seeks to continuously improve processes, systems and overall client satisfactionProvides direction/information to vendors, facilities staff and service providers as required to ensure excellent coordination/execution of work within client environment with minimal disruption, as neededWorks on items as directed by their manager or other managers in the group. Associates degree in facilities management, building, business or other related field or equivalent work experience (bachelor’s degree, preferred) Minimum of two years of industry experience with facility or property administrationKnowledge, Skills, and Ability

54,080.00 – 61,250.00 USD per yearThe total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data .
