What this job involves

The Facility Assistant supports daily operations and maintenance of commercial properties, ensuring optimal building performance and tenant satisfaction. This role involves coordinating maintenance activities, supporting facility management operations, and serving as a key liaison between tenants, vendors, and the facilities management team to maintain safe, efficient, and well-functioning building environments.

Your day-to-day tasks will include:

• Conduct routine building inspections and document maintenance needs or safety concerns

• Coordinate work orders and schedule maintenance activities with vendors and contractors

• Assist with preventive maintenance programs for HVAC, electrical, plumbing, and building systems

• Respond to tenant service requests and facility-related inquiries in a timely manner

• Support emergency response procedures and after-hours building operations as needed

• Maintain accurate records of maintenance activities, vendor communications, and building logs

• Assist with space planning, moves, and facility improvement projects

Physical Demands and Work Environment:

• Walking extensively throughout multi-story commercial buildings and outdoor areas

• Ability to lift and carry equipment and materials up to 50 pounds

• Climbing stairs and ladders to access mechanical rooms and building systems • Working in various environmental conditions including mechanical rooms, rooftops, and basements

• Exposure to cleaning chemicals, maintenance equipment, and building systems

• Ability to work in confined spaces and at heights when necessary

• Standing for extended periods during inspections and maintenance activities

• Manual dexterity required for operating tools and building system controls

• Potential exposure to noise from building equipment and construction activities

Required Qualifications:

• High school diploma or equivalent education

• 1-2 years of experience in facilities management, building maintenance, or related field

• Basic knowledge of building systems including HVAC, electrical, and plumbing • Strong organizational skills and attention to detail for record-keeping and work order management

• Excellent communication skills for interacting with tenants, vendors, and team members

• Ability to work independently and prioritize multiple tasks effectively

• Physical capability to perform building inspections and basic maintenance tasks

Preferred Qualifications:

• Associate degree in facilities management, engineering, or related technical field

• Previous experience in commercial real estate or property management

• Basic computer skills including Microsoft Office Suite and building management software

• Familiarity with building codes, safety regulations, and OSHA standards

• Experience with computerized maintenance management systems (CMMS)

• Basic troubleshooting skills for common building system issues

• Customer service experience in professional or commercial environment
