Facility and Business Operations Supervisor Apply Now **Job Summary** Reporting to the Accounts Payable Manager, the Facility and Business Operations Supervisor is responsible for both performing all tasks needed to maintain the successful daily operation of the U-M 1000 Victors Way facility and actively directing the Business Operations Associates, who focus on processing the mail,equipment inventory, onboarding/offboarding and providing support for the Shared Service Center teams. The Facility and Business Operations Supervisor provides visible and effective leadership to its staff in a manner that ensures operational excellence and quality service both to the SSC's customers and to the SSC itself. This role directly manages a team of approximately 3 staff. This position plays a critical role in coordinating decisions with key building stakeholders regarding space allocation, lease costs, and major renovations or repairs. The Facility and Operations Center Team Supervisor supports the shared use of over 51,000 square feet of leased office space at 1000 Victors Way, collaborating across leadership levels to ensure adoption of building-wide space utilization standards. Key responsibilities include developing operational procedures, managing facility-wide needs such as maintenance, housekeeping, security, and grounds via external vendors and the landlord, and serving as the primary contact for various centralized services across the tenants. The Facility and Operations Center Supervisor is responsible for establishing the objectives to be achieved by his/her team and regularly managing their performance. In partnership with the Accounts Payable SSC Manager, this individual provides direction to its staff and is expected to uphold a culture that encourages continuous improvement and professional development. The Facility and Operations Center Team Supervisor will regularly coach and develop his/her staff to assure a team-based and collaborative environment. This position will coordinate decisions that need to be made by all major building stakeholders, including changes to space allocation, lease cost allocation, and major renovation or repair costs. This position will support the shared use of the building by multiple U-M constituents, including collaborating across different leadership levels to assure acceptance of building-wide standards for space utilization. The Facility and Operations Center Supervisor is expected to support SSC leadership in promoting a positive and trustworthy reputation for the SSC through consistent and efficient service. Additionally, this individual will be focused on implementing appropriate business processes and internal controls as deemed fit while operating within the SSC's governance structure. **Responsibilities*** The Facility and Operations Center Supervisor acts as the supervisor for the Business Operations team, and on-site team that handles the mail room, equipment inventory, and support functions for Victors Way not limited to purchasing, on-site support, onboarding/offboarding and access requests, ITS first line issues, faxing/printing, and check courier services. **Supervision** + Oversee formal training plans, performance management, and team standards. + Report on and analyze established metrics measuring team's progress, meeting regularly with Accounts Payable managers to share findings and ensure alignment + Conduct regular coaching and feedback sessions with staff along with annual performance reviews. + Manage daily team workload to ensure completion of all responsibilities + Plan and coordinate recruiting, selection, onboarding and integration of new team members. + Implement continuous improvement initiatives, system enhancements, policy changes, and other special projects on an ad hoc basis **Job Specific** + **Project Management** : This position actively leads the management of the move-in or move-out of occupants, including appropriate communication with the future building occupants, assessing and addressing storage needs, and conversion to centralized functions of the building. + **Space Oversight** : The building manager provides guidance to leadership on matters related to space utilization and oversees the coordination of space relocations, working closely with end users to support effective space planning and usage. This role assists in the development and implementation of building space allocation policies by maintaining accurate internal data on space assignments, occupancy, and capital equipment inventories. + **Safety and Emergency Support** : This position assists leadership with special projects as needed, including the Emergency Preparedness Plan, Building Incident Response Teams (BIRT), and development of appropriate safety policies and procedures. This position handles facilities support and coordination during emergency incidents, which will require off-hours availability via phone, and the need to be present onsite if an emergency incident occurs outside of the regular workday. + **Daily Operations** : Oversee the conference rooms, mail office and other supplies for 1000 Victors way and other facility-wide responsibilities **Required Qualifications*** **Education:** + Bachelor's degree in related field preferred and/or equivalent experience. **Experience:** + 2+ years experience in Facilities, Administration, or related field + 1+ supervisory experience or equivalent experience + Proven ability to multitask, handling various projects simultaneously. + Demonstrated history of building relationships in the workplace with customers, suppliers, peers and employees + Proficient with Microsoft Office Suite **Modes of Work** Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department.
