Facilities Supervisor

The Call Center Facilities Supervisor is responsible for the overall maintenance, safety, and functionality of the call center's physical premises and related operational infrastructure. This role ensures a comfortable, safe, and efficient working environment for all employees, minimizing disruptions to call center operations. The Facilities Supervisor will manage facility-related issues, coordinate with vendors, oversee maintenance activities, and ensure compliance with health and safety regulations.

Key Responsibilities:

Facility Maintenance & Operations: Oversee daily operations and maintenance of the call center facility, including HVAC, electrical, plumbing, lighting, and general repairs. Conduct regular inspections of the premises to identify maintenance needs, potential hazards, and areas for improvement. Respond promptly to facility-related requests and emergencies (e.g., equipment malfunctions, spills, power outages). Coordinate and oversee scheduled preventative maintenance programs for all facility systems and equipment. Manage and monitor inventory of facility supplies and equipment, ensuring adequate stock levels. Supervise cleaning and janitorial services, ensuring a clean and hygienic work environment. Vendor Management: Source, evaluate, and manage relationships with external vendors and contractors (e.g., electricians, plumbers, HVAC technicians, cleaning services, IT support for physical infrastructure). Obtain bids, negotiate contracts, and ensure quality and cost-effectiveness of services provided by vendors. Monitor vendor performance and ensure adherence to service level agreements (SLAs). Health & Safety: Ensure compliance with all local, national, and company health, safety, and environmental regulations and standards. Implement and enforce safety procedures and protocols within the call center. Conduct safety drills (e.g., fire drills) and ensure emergency exits and equipment are in good working order. Identify and mitigate potential safety hazards, reporting any incidents or concerns. Maintain records of safety inspections, incidents, and corrective actions. Space Management & Layout: Assist in planning and executing office layouts and reconfigurations to optimize space utilization and workflow. Manage desk assignments and equipment deployment for new hires and reassignments. Ensure proper ergonomic setups for workstations. Budget & Cost Control: Assist in developing and managing the facilities budget, tracking expenses, and identifying cost-saving opportunities. Process invoices and maintain accurate financial records related to facilities. Team Leadership & Collaboration: May supervise a small team of facilities technicians or support staff. Collaborate closely with IT, HR, Operations, and other departments to ensure seamless facility support for business operations. Communicate effectively with employees regarding facility-related updates, disruptions, or procedures.

Qualifications:

Education: Bachelor's of Engineering  degree in Electromechanical OR Electricity. Experience: 3-5 years of experience in facilities management, smart buildings management, or a similar role, preferably within a call center or large office environment. Technical Skills: Proven understanding of building systems (HVAC, electrical, plumbing, fire suppression). Familiarity with health and safety regulations (e.g., OSHA). Proficiency in using facilities management software or CMMS (Computerized Maintenance Management System) is a plus. Basic IT troubleshooting knowledge related to physical infrastructure (e.g., network cabling, power). Soft Skills: Excellent problem-solving and decision-making abilities. Strong organizational and time management skills. Exceptional communication and interpersonal skills. Ability to manage multiple priorities and work effectively under pressure. Customer service-oriented approach. Detail-oriented and proactive.
