Facilities Sr Manager Job ID 211891 Posted 24-Mar-2025 Service line GWS Segment Role type Full-time Areas of Interest Facilities Management Location(s) Tokyo - Tokyo - Japan **Facilities Manager – Tokyo** **JOB SUMMARY** The purpose of this position is to manage multiple functions of building operations and maintenance. The position has operational and financial (P&L) management responsibility for the Tokyo site. The position is based in Tokyo and reports into the Regional FM – North Asia (who is based in Hong Kong). **ESSENTIAL DUTIES AND RESPONSIBILITIES** + **Facility Management:** Oversee the day-to-day operations of all facilities, ensuring they are maintained to the highest standards and all deliverables are achieved on-time and within budget. + **Leadership and Supervision:** Lead and supervise the Tokyo team, ensuring that all team members understand their roles and responsibilities. Provide guidance, support and training to team members to enhance their skills and performance. + **Stakeholder Management:** Develops and maintains positive client relationships. Is visible as a site-leader and ensures that the team proactively manages the relationship with the client. Conducts client meetings on unresolved facility issues in an expeditious and professional manner. Communicates to clients regarding property profiles, emergency preparedness plans, site inspections, facility audits, work order progress reports, and other related reports. + **Maintenance and Repairs:** Coordinate and manage maintenance, repairs, and renovations to ensure minimal disruption to office operations. + **Vendor Management:** Engage and manage relationships with external service providers and contractors for maintenance, security, cleaning, and other facility-related services. + **Health and Safety:** Ensure compliance with all local health and safety regulations and company policies. Conduct regular safety audits and risk assessments. + **Budget Management:** Has day-to-day P&L management responsibility for the Tokyo site budget. Management of the budget to ensure cost-effectiveness and efficiency in all operations. Contributes to the monthly finance meeting and pre-work. + **Space Planning:** Proactively optimize space utilization and manage office layouts to accommodate business needs and growth. + **Sustainability Initiatives:** Implement and promote sustainable practices within the facilities to reduce environmental impact. + **Projects:** Oversees the management of both operational and capital projects. + **Crisis & Incident Management:** Lead the response to any facility-related emergencies.This includes developing and maintaining procedures include emergency action plans, disaster recovery, business continuity, and other related procedures. + **Reporting & Documentation:** Maintain accurate records and documentation related to team activities, performance and facility operations. Prepare and submit regular financial, operational and governance reports to senior management. Ensure the Tokyo site is audit ready. + **Other duties may be assigned.** **SUPERVISORY RESPONSIBILITIES** Provides formal supervision to individual employees within single functional or operational area. Approves subordinate's recommendations for staff recruitment, selection, promotion, advancement, corrective action and termination. Effectively recommends same for direct reports to next level management for review and approval. Plans and monitors appropriate staffing levels and utilization of labour, including overtime. Prepares and delivers performance appraisal for staff. Mentors and coaches team members to further develop competencies. Leads by example and models behaviours that are consistent with the company's values. **QUALIFICATIONS** To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Minimum of six years of related experience and/or training. Bachelor's degree preferred with focus on business, technical or management areas. Prior Supervisory experience required and candidates with both soft & hard services experience, is desirable however soft services is preferred of the two. This is client-facing servicing role so candidates with strong experience with stakeholder management & communication, is preferred. **CERTIFICATES and/or LICENSES** Facility Management certification preferred. **COMMUNICATION SKILLS** Ability to comprehend, analyse, and interpret the most complex business documents. Ability to respond effectively to the most sensitive issues. Ability to write reports, manuals, speeches and articles using distinctive style. Ability to make effective and persuasive presentations on complex topics to employees, clients, top management and/or public groups. Ability to motivate and negotiate effectively with key employees, top management, and client groups to take desired action. **FINANCIAL KNOWLEDGE** Requires in-depth knowledge of financial terms and principles. Ability to calculate complex figures. Ability to forecast and prepare budgets. Conducts financial/business analysis including the preparation of reports. **REASONING ABILITY** Ability to solve advanced problems and deal with a variety of options in complex situations. Requires expert level analytical and quantitative skills with proven experience in developing strategic solutions for a growing matrix-based multi-industry sales environment. Draws upon the analysis of others and makes recommendations that have a direct impact on the company. **OTHER SKILLS and ABILITIES** Intermediate skills with Microsoft Office Suite, Outlook, intranet/internet. Ability to use work order system. Working knowledge of architectural, electrical and mechanical systems. Working knowledge of leases, contracts and related documents. **SCOPE OF RESPONSIBILITY** Decisions made with in-depth understanding and interpretation of procedures, company policies and business practices to achieve general results. Responsible for setting department deadlines. Errors in judgment may cause long-term impact to co-workers, supervisor, department and/or line of business.
