The Facilities Manager is responsible for ensuring the efficient and safe operation of our physical office environment. This includes managing building maintenance, office supplies, vendor relationships, health and safety compliance, and supporting a productive team and a comfortable workplace for staff.
Essential Functions
Oversee the daily operation of office facilities, ensuring they are clean, secure,
and well-maintained.
• Liaise with building management and contractors regarding repairs,
maintenance, and services.
• Liaise with site leaders on site operations
• Manage office access, keys, security systems, and visitor protocols.
• Ensure compliance with all local health and safety regulations.
• Manage procurement and inventory of office supplies, equipment, and furniture.
• Oversee mail, courier, and reception services (where applicable).
• Ensure meeting rooms, kitchens, and common areas are functional and wellstocked.
• Source and manage relationships with vendors and service providers (cleaning,maintenance, etc.).
• Monitor and manage facilities budget, seeking cost-effective solutions.
• On occasion coordinate desk allocations, office moves, and space planning.
• Support hybrid or remote working arrangements, including hot-desking systems or office scheduling tools.
• Support initiatives to reduce the office’s environmental impact (energy use, waste reduction, recycling programs, etc.)
**Qualifications & Experience:**
Required:
• Proven experience in office facilities or workplace management (5+ yepreferred).
• Excellent organizational and problem-solving skills.
• Proficient in Microsoft Office Suite (Word, Excel, Outlook) and facilities
management software/tools.
• Strong interpersonal and communication skills.

• Proactive and self-motivated.
• Calm under pressure and able to handle emergencies.
• Detail-oriented with a strong sense of responsibility.
• Capable of balancing multiple priorities in a dynamic environment
