About the role:

The Facilities Manager will manage the day-to-day client activities for the assigned properties/facilities and be the key point of contact for key stakeholders and/or clients. The role will assume overall responsibility for compliance, quote reviewing, maintenance, contract services, and helpdesk interactions.

An Overview of the Role

Work in conjunction with the Helpdesk and manage escalations regarding contractor performance and / or client complaint / escalations.Liaise and manage the Helpdesk to ensure works are completed in accordance with Key Performance Indicators (KPI’s) in a timely manner and in accordance with the budget.Work effectively to analyse fault logging records / reports to identify trends and devise / implement mitigation plans accordingly.Manage contractor requests for access and contractor inductions.Manage asset register including building, plant and equipment inspections and reporting.Manage minor works as delegated by the Account Team, including any other adhoc tasks as required.Ensure works do not impede occupation and/or operation of the facility without appropriate client approval.Be available for unforeseen after-hours call-out in emergency/crisis situations.Under the direction of the Account Director, develop and implement strategies, policies, and procedures for contract management. Management of compliance across allocated portfolio, obtaining all AESMR, ESC & CFI documentation, as necessary.Manage requests for repair and maintenance.Communicate with Stakeholders and team members where issues are anticipated to take an extended time to complete &/or may experience delay in completion.Schedule and manage preventative maintenance programs for allocated contracts, and associated correctives to achieve compliance.Monitor contractor performance against key indicators and provide regular reports on contract and performance status.Assist in the budgeting and forecasting process and provide financial data to the Finance Manager as requiredEnsure compliance within delegated authority and budgets.Support the Account Director to proactively develop and manage the relationship with the occupier and client to ensure service delivery expectations are exceededActively encourage an environment that supports teamwork, cooperation, performance excellence and personal successBuild and develop effective client / stakeholder relationships across multiple levels of the organisationKey point of contact for Facilities within the client’s portfolio.Implement, comply with and audit all internal management systems such as Corrigo, JLL Onsite, CMO, Uniform.Ensure compliance with all OH&S, Environment and Risk Management Policies and Procedures.Ensure compliance to Building Code of Australia, Australian Standards, Disability Discrimination Act, and all other regulations relevant to assigned roles and responsibilities.Assist the Account Director in the management of the process towards achieving and maintaining the sustainability aspirations.

3-5 years’ experience in facilities, property management, hospitality or related fieldKnowledge of local occupational health and safety requirementsKnowledge of critical facilitiesKnowledge of vendor management for specialized servicesHas an understanding of basic technical aspects of property (e.g. Chiller system, Fire Protection system, Mechanical & Electrical system, BMS system)Proven capacity to manage assets to applicable compliance regulationsStrong budget management and financial analysis skillsStrong communicator – Good presentation skills and possesses strong verbal & written communication skills, also an active listenerPassion for quality – has an eye for detail to make sure the best delivery of servicesSelf-motivated; confident & energeticAbility to effectively deal with stressful situationsFlexible – able to adapt to rapidly changing situationsStrongly goal-oriented – able to focus on meeting all performance targetsIs a team player – able to cooperate and work well with others to meet targets
