What This Job Involves:

As a Facilities Manager, you'll lead our Facilities Management team and oversee the comprehensive operations of our facilities. Reporting to the Head of Operations, you will be responsible for:

Reception Services Management

Supervise front desk operations including visitor management protocols and security proceduresOversee mail and package distributionManage meeting room allocation and facility schedulingAdminister access control systems and security credentialsDirect catering services and corporate dining arrangementsManage corporate identity materials procurement

Financial Management

Develop and manage facilities operational budgetsOversee vendor contract negotiations and cost optimizationImplement expense tracking systems for facilities expendituresProcess and approve facilities-related invoicesPrepare regular financial reports for facilities operationsManage capital expenditure planning for facilities improvements

Project

Lead office construction and expansion initiatives from conception to completionManage space planning and optimization projectsCoordinate with architects, contractors, and vendors for facility renovationsOversee project timelines, budgets, and quality assuranceManage stakeholder communications during facilities projects

Facilities Management

Develop preventative maintenance schedules and manage facilities upkeepOversee facilities issue resolution processesImplement facilities documentation systems and reportingManage facilities budgeting and cost control measuresEnsure compliance with health and safety regulations

Event Management

Direct the planning and execution of corporate events and conferencesEstablish and manage vendor relationships for event servicesOversee event logistics and budgeting

Qualifications:

Bachelor's degree in Facilities Management, Business Administration, or related field5+ years of experience in facilities management or related roleExperience with office construction/expansion projectsFinancial management skills including budgeting and cost analysisExcellent written and verbal communication skills in EnglishStrong leadership and team management capabilitiesProficiency in facilities management software and Microsoft Office suiteProblem-solving skills with a solutions-oriented approach
