We currently have an excellent opportunity for aFacilities Coordinator (m/f/d)
to join our Integrated Facilities Management team in Frankfurt.
Your tasks:
Vendor Management:
Oversee and coordinate local vendors providing various FM servicesConduct regular performance reviews of vendorsNegotiate and manage service level agreementsEnsure vendors comply with all relevant regulations and client-specific requirementsFacilities Agenda Planning:
Maintain an annual facilities management planSchedule and coordinate routine maintenance, inspections, and upgradesAnticipate future facility needs and plan accordinglyManage budgets and track expenses related to facilities operationsClient Relationship Management:
Serve as the primary point of contact for the client on all FM-related mattersBuild and maintain strong relationships with key client stakeholdersConduct regular meetings with client representatives to discuss FM performance and address any concernsProactively identify opportunities to improve service delivery and client satisfactionService Delivery Oversight:
Ensure all FM services are delivered to the highest standardsMonitor and report on key performance indicators (KPIs)Implement and maintain quality control processesRespond promptly to client requests and resolve issues efficientlyEnd to end finance admin of PO’s, invoices, and trackersHealth, Safety, and Compliance:
Ensure compliance with all relevant health and safety regulationsConduct regular safety inspections and risk assessmentsMaintain accurate records and documentationCoordinate emergency preparedness and response proceduresContinuous Improvement:
Identify and implement process improvementsStay informed about industry best practices and new technologiesContribute to the development of innovative FM solutionsReporting and Communication:
Prepare and present regular reports on FM performance to both JLL management and the clientCommunicate effectively with all levels of staff, from front-line employees to senior executivesYour profile:
Minimum of 3-5 years of experience in facilities management, preferably in a corporate or financial services environmentFacilities Management BackgroundFluent in German and English (both written and spoken)Strong knowledge of facilities management principles and best practicesExcellent interpersonal and communication skillsProven ability to build and maintain client relationshipsStrong organizational and time management skillsProficiency in Microsoft Office suite and facilities management softwarePreferred Qualifications:
Professional certification in Facilities Management (e.g., CFM, FMP)Experience working with financial institutions or in highly regulated environmentsKnowledge of German building codes and regulationsFamiliarity with sustainability and energy management practicesPersonal Attributes:
Customer-focused with a strong service orientationProactive problem-solver with excellent attention to detailAdaptable and able to work effectively in a fast-paced environmentStrong leadership skills with the ability to influence and motivate othersAnalytical thinker with good decision-making abilitiesOur offer
