What this job involves:
As a Facilities Coordinator, you will play a key role in supporting general facility management (FM) services, ensuring continuous monitoring of the property. In this dynamic role, you will work with property managers to facilitate routine operations, including the procurement of supplies and services, issuing purchase orders, managing bid requests, service/construction contracts, and handling accounts payable and receivable. Your strong organizational and communication skills will ensure the property operates smoothly and client needs are consistently met.
What your day-to-day will look like:
Assist the Facility Management Team with tactical planning toward goals and objectivesProvide facility-specific support to the project management team as needed or requestedManage and maintain small facility tasks assigned for day-to-day operationsCoordinate and support special events for JLL or the clientAssist with meetings and conference room reservation arrangementsSchedule and coordinate maintenance activities as directedDeliver general facility management services, including ongoing monitoring of facilities and responding to needs as they ariseServe as the interface for the client, visitors, and guests, ensuring positive interactionsEnsure prompt follow-up with customers to address their requestsDirect vendors, facilities staff, and service providers to ensure seamless execution of work with minimal disruptionAdminister and maintain all security systems effectively and appropriatelyAssist with budgetary processes including requests, analysis, and reportingSupport analysis and reporting of budget variancesUse superior customer service skills to address inquiries and resolve problemsMaintain professionalism under stressful situations, and plan/manage work under tight deadlinesMultitask and work independently with minimal supervisionUtilize MS Office effectively, especially Excel, to customize administrative reports and facilitate work processesDemonstrate strong written, verbal, and interpersonal skills, as well as a collaborative working stylePerform any and all other duties and tasks assignedRequired Qualifications:
Associate’s degree in facilities management, building, business, or a related field2+ years of experience in facility or property administrationSuperior customer service skills and commitment to service excellenceStrong organizational and collaborative abilitiesProficiency in MS Office Suite, especially ExcelStrong written and verbal communication skillsAbility to multitask, plan, and manage work under time constraintsAbility to maintain professionalism at all timesPreferred Qualifications:
Experience customizing administrative reportsAdvanced proficiency in Excel spreadsheetsPhysical Requirements and Work Conditions:
